We are looking for an organized, customer-focused Scheduling Coordinator - HVAC to help keep our service department running efficiently. This position plays an important role in connecting customers with our field technicians while keeping appointments, job information, and daily schedules organized.
What You'll Do
As a Scheduling Coordinator, you'll help manage the flow of service calls from the initial customer contact through completion. You'll communicate with customers, coordinate technician schedules, and help ensure our field team has the information and resources necessary to complete each job.
Responsibilities include:
- Schedule and coordinate residential and commercial HVAC service appointments
- Communicate appointment information and updates to customers
- Coordinate daily schedules with HVAC service technicians
- Monitor scheduled calls and make adjustments when priorities or circumstances change
- Confirm technicians have the job information, parts, tools, and equipment needed for upcoming calls
- Maintain accurate customer, appointment, and service records
- Keep customers and internal team members informed of scheduling changes
- Assist with incoming calls and general customer service needs
- Enter and update information within company systems
- Work closely with technicians and other team members to keep daily operations organized
- Assist with basic administrative and bookkeeping-related responsibilities as needed
What We're Looking For
The right person will be comfortable working in a busy service environment where schedules can change throughout the day. Strong communication, organization, and problem-solving skills are important.
Preferred qualifications include:
- Previous scheduling, dispatching, or service coordination experience
- HVAC or home-service industry experience is a plus
- Strong written and verbal communication skills
- Ability to organize and manage multiple priorities
- Comfortable communicating with customers by phone
- Experience using multi-line phone systems
- Working knowledge of Microsoft Word, Excel, and Outlook
- Basic bookkeeping experience
- ServiceTitan experience is preferred
- Team-oriented with good problem-solving abilities

Schedule & Compensation
Pay: $18.00-$25.00 per hour, depending on experience Schedule: Monday-Friday, 8:00 AM-5:00 PM with a one-hour lunch Overtime: May be available or required during peak seasons.
