Duties
- Greet visitors, clients, and staff warmly, providing excellent customer service and assistance
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming and outgoing correspondence, including mail distribution and email management.
- Operate office software including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks for bookkeeping tasks.
- Assist with clerical duties such as copying, scanning, filing, and maintaining office supplies inventory
Qualifications
- Proven experience in front desk operations or office management roles with strong organizational skills
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
- Strong customer service skills with the ability to handle multiple phone lines efficiently in a fast-paced environment
- Bilingual abilities are highly preferred to serve diverse client needs effectively
- Demonstrated clerical experience including proofreading, filing, and calendar management
- Knowledge of QuickBooks or similar bookkeeping software is a plus for supporting basic financial tasks
- Exceptional time management skills with the ability to prioritize tasks accurately and work independently
- Previous experience in administrative support or personal assistant roles is advantageous
