Duties
- Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings for staff or departments
- Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document preparation
- Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies
- Provide exceptional customer service by addressing inquiries promptly and supporting client needs with professionalism
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong computer literacy including data entry, filing, proofreading, and general office software use
- Bilingual abilities are preferred to assist diverse client needs effectively
- Previous experience as a receptionist or medical/dental receptionist is advantageous
- Exceptional phone etiquette skills with experience managing multi-line phone systems
