About Us
We are a growing dental equipment service and supply company in Southern California. Our team provides repair, installation, and maintenance of dental equipment, as well as sales. We are looking for a reliable, organized, and proactive Office Administrator / Dispatcher to join our office.
Position Summary
You will be the central support person for our office operations.
Your role will focus on scheduling field technicians, tracking purchase orders, collecting overdue invoices, assisting with HR (tracking PTO, vacation, sick time, etc), and general administrative support for the team.
Key Responsibilities
- Maintain and update field technician schedules; dispatch jobs and communicate schedule changes promptly
- Coordinate shipping and receiving of parts, equipment, and repairs
- Track parts and shop jobs; maintain accurate records in system
- Follow up on overdue payments and assist with collections in coordination with bookkeeper/CPA
- Support HR with recruiting, onboarding/offboarding, time off tracking, overtime, sick time, raises, write ups, tardies, and maintaining compliant employee files
- Post jobs and assist with applicant screening as needed
- Serve as the first point of contact for incoming calls, emails, and taking messages
- Manage general office duties such as filing, document organization, and supply ordering
- Communicate effectively with field staff, management, and vendors
Qualifications
- Experience in scheduling and dispatch trades (HVAC or similar)
- Local to Riverside County
- Strong organizational skills and attention to detail
- History of staying with companies long term
- Excellent written and verbal communication
- Proficiency with computers, email, and office software (QuickBooks experience a plus)
- Ability to handle multiple priorities and follow through on tasks
- Comfortable working independently in a fast-paced environment
- Exposure to HR tasks such as onboarding, hour tracking, employee records, or job postings
- Familiarity with QuickBooks, Asana, or similar systems
