Responsibilities
- Greet visitors and manage front desk operations with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls efficiently and courteously
- Handle data entry, filing, and document proofreading to maintain accurate records
- Assist with calendar management, scheduling appointments, and coordinating meetings
- Support office management tasks such as supply inventory, ordering, and organization of supplies
- Provide excellent customer service by responding to inquiries via phone or email in a bilingual capacity if applicable
- Perform clerical duties including typing, photocopying, and maintaining organized files using Microsoft Office and Google Workspace tools
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience with QuickBooks or bookkeeping is a plus but not required
- Excellent phone etiquette and customer support skills, especially in handling multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with high accuracy; familiarity with data entry and proofreading processes
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not mandatory
- Ability to manage time effectively while juggling multiple responsibilities in a fast-paced environment
