Legal Billing & Matter Setup Specialist

Our client is a premier law firm and are currently seeking a Legal Billing & Matter Setup Specialist to support the Financial Services team. This role is responsible for client and matter setup, billing rate management, financial system maintenance, and ensuring compliance with firm and client billing guidelines. The ideal candidate will bring strong law firm billing experience, exceptional attention to detail, and experience working within financial and billing systems such as Aderant.
Responsibilities
- Enter and maintain accurate client and matter information within the firms financial system
- Review and validate client and matter data to ensure compliance with firm policies and client billing guidelines
- Manage billing rate structures including client specific rates, rate tiers, and complex fee arrangements
- Update and maintain Aderant billing system configurations and financial records
- Conduct audits and reconciliations to ensure data accuracy and integrity
- Collaborate with attorneys, billing managers, conflicts team, IT, and legal support staff on new client and matter setup
- Monitor incoming assignments and prioritize work to meet deadlines
- Generate reports related to matter setup activities and data management
- Support legal staff with billing rate questions and system guidance
- Maintain confidentiality of sensitive financial and client information
- Participate in departmental meetings and contribute operational best practices
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, Information Technology, or equivalent professional experience
- 3 years of law firm or professional services billing and matter setup experience preferred
- Prior law firm experience required
- Experience with Aderant or similar legal billing systems strongly preferred
- Advanced Microsoft Excel, Word, and Outlook skills
- Strong organizational, analytical, and multitasking abilities
- Excellent communication and interpersonal skills
- Ability to work independently and collaboratively in a fast paced environment
