Responsibilities

• Accurately assign ICD-10, ICD-9, CPT, and DRG codes to medical records in accordance with current coding guidelines for inpatient and outpatient services
• Review and interpret medical records, documentation, and physician notes to ensure proper coding for billing purposes
• Process health insurance claims using Practice Fusion billing software and electronic health record (EHR) systems, ensuring timely submission and follow-up on unpaid or denied claims
• Manage medical collections by following up on outstanding accounts and resolving billing discrepancies with third-party payers
• Maintain comprehensive documentation of coding activities, claim status updates, and correspondence within EMR/EHR systems
• Communicate with insurance companies and other payers regarding claim status, denials, payment issues, and required documentation
• Stay current with changes in medical coding standards, insurance policies, and healthcare regulations to ensure compliance
• Collaborate with healthcare providers and insurance companies to resolve billing issues efficiently
• Prepare and send patient statements
• Follow up on outstanding insurance and patient balances
• Post electronic remittance advices (ERAs), insurance payments, adjustments, and patient payments
• Respond professionally and compassionately to patient questions regarding statements, insurance processing, and account balances
• Protect patient confidentiality and follow HIPAA requirements and clinic policies
• Assist with accounts-receivable reporting and other billing-related projects as needed

Skills

• Strong knowledge of ICD-10, ICD-9, CPT coding systems, including coding for inpatient services and DRGs
• Proficiency in medical terminology, medical records management, and understanding of medical coding guidelines
• Experience with billing software, EMR/EHR systems, and electronic health record management for billing and coding purposes
• Familiarity with health insurance claim processing, third-party billing procedures, and revenue cycle management
• Excellent attention to detail with the ability to interpret complex medical documentation accurately
• Knowledge of health insurance policies, health insurance claim processing, and medical collection procedures
• Effective communication skills for collaborating with healthcare providers, insurance companies, and patients

Qualifications

• At least five years of medical billing experience required
• Experience working in a small clinic, independent practice, or similar healthcare setting strongly preferred
• Strong understanding of medical billing workflows, insurance claims, ERAs, patient statements, denials, and accounts receivable
• Familiarity with commercial insurance, Medicare, Medicaid, and other payer requirements, as applicable
• Experience using electronic health record and practice-management systems
• High degree of accuracy, organization, and attention to detail
• Strong written and verbal communication skills
• Ability to explain billing matters to patients clearly, respectfully, and professionally
• Ability to work independently, prioritize responsibilities, and meet deadlines
• Sound judgment when handling confidential patient and financial information
• Knowledge of HIPAA and healthcare privacy requirements

Preferred Qualifications

• Professional billing or coding certification, such as CPB, CPC, or an equivalent credential
• Experience with claim-denial management and insurance follow-up
• Experience supporting the full billing cycle in a small healthcare practice
• Familiarity with our clinic’s specialty and payer mix

Schedule and Work Environment

This is a part-time position requiring approximately 20-30 hours per week. The schedule can be flexible as role requirements adjust, and the position will be on-site. Occasional schedule adjustments may be needed to meet billing deadlines or address time-sensitive payer issues.
