SUMMARY: As a Tenant Coordinator in Pyramid Management Group's corporate office, you would be responsible to manage tenant projects throughout our 15-center portfolio of shopping centers from initial lease negotiations through tenant opening, with the primary goal of getting tenants open before their lease-obligated opening dates. You will be responsible for working closely with multiple in-house departments including leasing, legal, operations, mall management, construction, and development, as well as with tenants, architects, engineers, city officials, and contractors. Tenant Coordinators work in concert with an aggressive leasing team by efficiently organizing and actively motivating tenants through the entire TC process. As a contributing member of the Tenant Coordination group, candidates should enjoy working in a fast-paced environment and shall be capable of independently initiating and completing projects with minimal direction and/or supervision.
DUTIES & RESPONSIBILITIES:
- To support a determined group of highly motivated leasing representatives in their efforts to acquire new tenants and improve overall tenant mixes in all of our shopping centers.
- To assist in the development and determination of landlord and Tenant lease-obligated work scopes and the generation of associated lease exhibits.
- To track and manage the design process for each individual tenants' store improvements, remodels, relocations, or new build-outs.
- To enhance the value of Pyramid's real estate property by encouraging exciting retail environments and ensuring a high level of quality throughout the mall's common area.
- Ensures all tenants meet the collective requirements of landlord and tenant design goals, ensure compliance with Pyramid's design standards, and achieve timely, seamless, and well-constructed tenant spaces that open on or before lease required opening dates.
Responsibilities: As a Tenant Coordinator, you will be responsible for the organization, implementation, and day-to-day management of multiple retail, restaurant, entertainment, and unique-use tenant projects within the Pyramid Management Group portfolio of shopping centers. These responsibilities may include any and/or all of the following:
- Leasing Activity / Lease Exhibits: Actively participate in lease negotiations in conjunction with Pyramid's legal and leasing teams, as well as the tenant's leasing, design, operations, and construction representatives. Tenant Coordinators are responsible for determining and documenting clear scopes of work to be included as lease exhibits, as well as coordinating accompanying construction budgets with mall operations teams and the construction department for the establishment of project budgets.
- Schedules: Coordinate aggressive project schedules with internal departments and tenants' teams including timeframes to include lease negotiations, relocation of existing tenants (if required), RFP process, design, completion of construction documents, bidding, procurement of long-lead items, permitting, construction, coordination of Tenant's FF&E installation, merchandising, marketing, and store opening activities. Identify and track long-lead items such as elevators, escalators, mechanical and electrical equipment, required to meet tenant's specifications and sustain accelerated project schedules.
- Budgets / Construction Cost Estimates: Coordinate and establish project budgets with mall operations teams, including identifying opportunities for savings, exposures, and presentation of individual project and overall summary reports to upper level management.
- Renderings / Schematic Design: Discuss design options with tenants and propose initial design guidance to leasing. Generate or facilitate the creation of renderings and/or design intent drawings, sketches, inspiration boards, and layouts to aid in the progression of proposed lease deals.
- Conversion of Anchor Box to Covered mall Building: Identifying construction scopes, costs, and design and code implications associated with the break-up of large anchor boxes into smaller tenant spaces and common area.
- Value Engineering: Identify and implement value-engineering strategies that result in cost savings, simplified construction, and/or reduced timeframes.
- Communication: Maintain communication with all key groups to ensure tenant questions and concerns are addressed in a timely manner and that all tenants are built-out in accordance with PMG standards. Maintain and review tracking reports to ensure well-coordinated information company-wide. Close coordination with tenants, architects / engineers, and mall operations teams for all projects.
- Design / Drawing Review: Manage entire design and documentation process, track and file all documents associated with the design of a tenant space, review of tenant's (or landlord's) design drawings, review signage shop drawings, and material selections. Generate and maintain design standards for the entire portfolio, maintain the Tenant Design Handbooks for each center.
- Permitting: Assist with any issue that may arise through permitting with design teams and local jurisdiction.
- Delivery: Work with mall operations team to ensure on-time delivery of spaces in accordance with lease obligations. (Delivery is the process of giving control of the proposed tenant's space to the tenant including any lease required landlord work.)
- Construction: Track each project through construction, report on current status, help resolve any issues that arise during construction, monitor progress, and push to accelerate schedule. Coordination of owner-supplied material and equipment (including tenant's furnishings, fixtures, and equipment (FF&E), and vendor work scopes including data, communications, security, audio/visual, millwork, etc.), and ensure on-time or early delivery to tenant. Interface with tenant's construction managers, participate in project punch-list and close-out process with mall operations.
- Opening: Coordination and reporting of store openings and associated activities. Tracking / reporting to ensure opening occurred on or before the lease required date.
Supervisory Responsibility: None
Education Required: Degree in architecture, interior design, engineering, construction administration, or related field.
Experience: Minimum of three years' experience in architecture, interior design, engineering, construction administration, or related field. Specific experience in tenant coordination, retail store design, shopping center design, and/or shopping center development/management highly preferred.
Other Qualities: This candidate must be a self-motivated individual with a strong desire to achieve success. Effective organizational skills, time management skills, and ability to manage multiple projects concurrently are critical to this role. Strong interpersonal skills, written and oral communication skills, familiarity with reading and understanding architectural and engineering design and construction drawings, experience in construction and construction detailing, project scheduling, construction cost estimating, building systems including MEP, civil, and structural, an ability to interpret and apply building code, familiarity with ADA requirements, strong project management skills, as well as proficiency in MS Word, Outlook, and MS Excel are required. Experience / proficiency in related computer software applications such as AutoCad, Revit, Photoshop, or MS Project is preferred but not required.
Salary : $80,000 - $800,001
