Event Staffing Operations Coordinator

Position Overview

We are seeking a highly organized, systems-savvy Event Staffing Operations Coordinator to support high-volume staffing for luxury retail, experiential activations, and hospitality events nationwide.

This is a dynamic, operationally driven role responsible for staffing execution, scheduling, and talent coordination across multiple markets. The ideal candidate thrives in real-time environments, understands event staffing dynamics, and can manage last-minute changes with confidence.

What You’ll Do

Staffing & Scheduling

• Build and manage staffing rosters for events across multiple markets
• Coordinate schedules using platforms such as Bullhorn, Staff Connect, or similar.
• Maintain backup coverage and proactively mitigate call-outs

Talent Coordination

• Source, vet, and place event staff aligned with client expectations
• Manage high-volume pipelines of talent across multiple job orders
• Communicate booking details, confirmations, and updates

Operations & Systems

• Maintain accurate records in ATS and scheduling platforms
• Track staffing metrics (fill rates, attendance, reliability)
• Support continuous improvement of staffing workflows

Client & Event Support

• Ensure all roles are filled with qualified, client-aligned talent
• Assist with last-minute staffing needs and real-time adjustments
• Uphold a high standard of white-glove service delivery

What We’re Looking For

Required:

• 2 years in event staffing agency, experiential marketing, or hospitality staffing
• Experience with high-volume scheduling and staffing coordination
• Familiarity with ATS and scheduling platforms (Bullhorn, Staff Connect, etc.)
• Ability to manage multiple priorities in a fast-paced environment

Preferred:

• Experience staffing multi-market or national programs
• Background in luxury retail or client-facing environments
• Strong understanding of staff reliability performance evaluation

• 95% fill rate on assigned roles
• Reduced call-outs through proactive staffing strategy
• Strong talent pipeline and fast response times
• Seamless execution across multiple concurrent events

Salary: $65k - $75k DOE
