Position Overview

The Patient Experience Coordinator serves as the welcoming face and operational backbone of our practice. This multi-faceted role combines front-desk hospitality with cross-functional administrative, optical, and clinical support. The ideal candidate thrives in a fast-paced environment, excels at clear communication, and brings a warm, detail-oriented approach to ensuring every patient feels valued from the moment they walk through our doors.

Key Responsibilities

1. Patient Welcome & Front Desk Hospitality

  • Warmly greet patients upon arrival, manage the check-in/check-out workflow, and maintain a tidy, welcoming reception area.
  • Set a positive, professional tone for the practice, guiding patients through intake procedures and answering initial visit questions.
  • Coordinate patient flow to ensure appointment start times run efficiently and communicate any delays promptly.

2. Administrative & EHR Management

  • Utilize RevolutionEHR (RevEHR) to check in patients, update demographics, manage schedules, and maintain accurate health records.
  • Prepare, scan, organize, and attach documents, medical records, and digital correspondence directly to patient files.
  • Process incoming and outgoing faxes, emails, and phone inquiries efficiently.
  • Create and format internal documents, notices, and communications using Microsoft Word and office utilities.

3. Insurance & Optical Support

  • Verify vision and medical insurance eligibility and pull patient benefit breakdowns prior to scheduled appointments.
  • Assist patients with picking up completed eyewear, performing light frame adjustments, and conducting basic dispensing.
  • Answer general patient questions regarding vision care plans, copays, and order statuses.

4. Clinical Support

  • Step in as needed to assist the clinical team with preliminary patient testing (e.g., auto-refraction, non-contact tonometer, visual fields, and retinal imaging).
  • Prepare examination rooms between patients, maintaining strict sanitation and infection control standards.

Qualifications & Desired Skills

  • Experience: 1 years in a medical reception, optical, customer service, or hospitality role preferred (optometry or ophthalmology background is a strong plus).
  • Familiarity with Electronic Health Records systems (experience with RevolutionEHR is highly preferred).
  • Solid working knowledge of Microsoft Office (Word, Excel) and standard office equipment (scanners, multifuntion printers, e-faxing).
  • Interpersonal Skills: Exceptional verbal and written communication abilities with a high degree of empathy and active listening skills.
  • Adaptability: Comfort with cross-training across administrative, optical dispensing, and basic clinical testing duties.
  • Detail-Oriented: Strong organizational habits with the ability to manage patient flow while maintaining accurate administrative records.

Compensation & Benefits

  • Pay Range: Competitive, based on experience ($16.00 –$18.00 per hour)
  • Benefits: Paid Time Off (PTO), optical discounts for employee and immediate family, simple IRA/retirement plan match, and holiday pay.
