Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth
- Coordinate scheduling for meetings, appointments, and events to optimize team productivity and resource utilization
- Oversee vendor management by liaising with suppliers, service providers, and contractors to ensure timely delivery of goods and services
- Support human resources functions including onboarding new employees, maintaining personnel files.
- Organize and maintain filing systems—both digital and physical—to ensure easy access to important documents
- Assist with event planning for company meetings, training sessions, or special events to foster team engagement and professional development
Requirements
- Proven experience in office administration or related clerical roles within a professional environment
- Strong organizational skills with the ability to manage multiple priorities efficiently
- Excellent communication skills—both verbal and written—with a professional phone etiquette
- Experience supervising or managing teams is preferred; prior office management or medical office management experience is a plus
- Proficiency in Word, Excel, calendar management tools, and multi-line phone systems
- Ability to handle sensitive information discreetly while demonstrating strong human resources competencies
- Demonstrated ability to train staff or support development initiatives is desirable
