Job Overview:

The Production Coordinator is a versatile position that will support daily operations in a fast-paced environment. The Hybrid Production Coordinator will play a critical role in ensuring operational efficiency by assisting with flow of vehicles through production, assisting with parts procurement, vehicle detailing and lot management, as well as customer and phone support as required. 


FLSA Status: Non-Exempt

Work Location: Full Time Hourly

 

Job Responsibilities:

 

Parts Procurement and Inventory Management 

  • Order Management: Confirm drop-off orders, verify part accuracy, and ensure timely delivery of parts to meet repair schedules.
  • Parts Distribution: Perform mirror matching to confirm part compatibility, deliver parts to Body Technicians and Painter, and maintain an organized parts storage area.
  • Invoice Processing: Post parts invoices accurately in shop management software (e.g., CCC One or similar), ensuring proper cost tracking.
  • Returns and Credits: Coordinate parts returns, secure credits from suppliers, and post credits to maintain accurate financial records.
  • Invoice Tracking: Assist in keeping the unposted invoice tracker clean by reconciling pending invoices and flagging discrepancies.
  • Vendor Communication: Liaise with parts suppliers to resolve issues, negotiate credits, and maintain strong vendor relationships.

 

Vehicle Detailing, Lot Management, and General Support 

  • Vehicle Detailing: Clean and detail vehicles for delivery, ensuring a polished appearance that meets customer expectations.
  • Lot Porter Duties: Move vehicles around the shop and lot, stage cars for repair or delivery, and maintain an organized parking area.
  • Shop and Office Maintenance: Keep the shop floor, office, and customer areas clean and presentable, including sweeping, trash removal, and restocking supplies.
  • Ad Hoc Support: Provide daily assistance to the team, such as running errands, organizing tools, or supporting urgent tasks to maintain workflow.
  • Team Collaboration: Work closely with Body Technicians and Painter to ensure smooth handoffs and timely completion of repairs.
  • Customer Service: Occasional support in the front office if required, communicating to customers or answering phone calls.

 

Skills/Qualifications:

  • Minimum 1 year of experience in an auto body shop, automotive repair, or customer service role, with familiarity in administrative or hands-on tasks.
  • Basic computer proficiency for invoice tracking and shop management software (e.g., CCC One, Mitchell, or Autoflow).

  • Perform all assigned responsibilities according to the Company SOP.
  • Continuously strive to improve the efficiency of the center and be willing to participate in company meetings and training programs which are sponsored by the company.
  • Uphold the company’s non-disclosure and confidentiality policies and agreements.


Physical Requirements:

  • Ability to work in both office and automotive repair shop environments.
  • Ability to stand, walk, and move throughout the facility frequently during the workday to coordinate workflow, monitor repair status, and communicate with team members.
  • Ability to sit for extended periods while using a computer, telephone, scheduling systems, and other office equipment.
  • Ability to move between production, paint, detail, parts, estimating, and customer service areas as needed.
  • Ability to occasionally bend, stoop, kneel, crouch, reach, and climb to inspect vehicles, review repairs, and access work areas.
  • Ability to lift, carry, push, and pull up to 25 pounds occasionally, including files, parts, supplies, and equipment.
  • Ability to use hands and fingers for frequent typing, data entry, document handling, and operation of office equipment.
  • Ability to visually inspect vehicles, repair progress, schedules, work orders, and production activities, including close and distance vision.
  • Ability to read and interpret repair orders, production schedules, computer reports, and other operational documents with a high degree of accuracy.
  • Ability to communicate effectively with customers, technicians, estimators, parts personnel, vendors, and management in person, by telephone, and electronically.
  • Ability to safely navigate around moving vehicles, tools, equipment, and active repair operations.
  • Ability to tolerate exposure to noise, dust, fumes, chemicals, and varying temperatures when working in shop and production areas while utilizing appropriate personal protective equipment (PPE) as required.
  • Ability to manage multiple priorities, maintain attention to detail, and respond effectively in a fast-paced production environment.
  • Ability to operate a motor vehicle and maintain a valid driver's license with an acceptable driving record.
