SECRETARY
QUALIFICATIONS:
- High school diploma, at a minimum. Some college preferred.
- Minimum of two (2) years of successful secretarial experience preferred.
- Possesses excellent keyboarding, clerical, computer and communication skills.
- Possesses effective interpersonal skills and realizes the importance of maintaining positive public relations with students, parents and staff.
- Works cooperatively with others.
- Exhibits a pleasant, positive attitude and caring demeanor.
- Shows willingness to learn new things.
- Demonstrates confidentiality in handling student and family information and ability to keep accurate records.
- Shows a willingness to ask questions, when necessary.
- Demonstrates initiative and excellent work habits (attendance, punctuality, responsibility).
- Additions to the above qualifications as the board of education deems appropriate.
REPORTS TO: Middle School Principal
PRIMARY FUNCTION: Serves as secretary to the Middle School Principal
PERFORMANCE RESPONSIBILITIES
- Coordinates the operation of the middle school office.
- Answers the principal’s telephone, answers the general office telephone in a timely manner, and provides assistance at the front counter.
- Welcomes students, parents and general public to the building in a pleasing and courteous manner and provides assistance as needed.
- Utilizes good communication skills with parents, staff and students as necessary.
- Receives, sorts and disperses mail (incoming and outgoing).
- Types and photocopies a variety of materials.
- Maintains supplies and office machinery (copier, risograph, forms, etc.)
- Provides secretarial assistance for teaching staff.
- Assists Principal with scheduling and preparation for parent teacher conferences.
- Maintains accurate staff attendance records, including collecting timesheets from hourly staff.
- Assists with maintaining accurate student attendance records.
- Maintains and monitors student immunization records and all related correspondence and reports.
- Generates and maintains various reports, including those for substitute teachers, teacher attendance, staff professional development, and volunteer involvement as necessary.
- Maintains information and coordinates the full-time equivalent (FTE) count of students.
- Prepares financial and other reports as directed by the building principal.
- Maintains a proper filing system to provide appropriate information regarding all phases of responsibility involving the operation of the school.
- Assists in distributing student medications and maintaining medication records in accordance with current District policies and procedures.
- Assists in the care of ill or injured students and contacts parents as necessary.
- Assists with the school lunch program as directed by the school principal, including processing free and reduced lunch applications in a timely manner.
- Maintains sports physicals and runs eligibility report.
- Maintains and distributes building keys to appropriate staff members.
