Job Summary
We are seeking a proactive and organized Full-Time Administrative Assistant to support our daily operations. Responsibilities
- Answer and direct incoming phone calls.
- Greet visitors and ensure all visitor procedures are followed.
- Respond to inquiries via phone, email, and general correspondence.
- Perform filing and document management.
- Provide administrative support to upper management as needed.
- Purchase materials from approved suppliers.
- Communicate directly with customers regarding shipments, production, and needs.
- Prepare weekly customer inventory reports.
- Accurately enter customer purchase orders.
- Assist with incoming and outgoing paperwork.
- Maintain and update shipping schedules in coordination with production and customer needs.
- Schedule customer shipments.
- Demonstrate knowledge of customs requirements and international shipping procedures.
- Track customer forecasts and work closely with the production team.
- Monitor pallet tracking and ensure FIFO (First In, First Out) procedures are followed.
- Prepare and issue customer invoices.
- Follow all Personnel Hygiene and Welfare practices.
- Comply with all Food Safety and Quality procedures.
- Report any food safety concerns to Management or the Quality Department.

Qualifications
- High School Diploma or equivalent
- Proven administrative experience or office experience with strong organizational skills.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent typing speed, data entry skills, and close attention to detail.
- Strong written and verbal communication skills with professional phone etiquette and customer service orientation.
- Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining accuracy.
- Prior experience as a personal assistant or in front desk roles is a plus.
- Knowledge of office management procedures including filing systems, office supplies management, and office equipment operation.
- Energetic, flexible, and able to work independently or as part of a team
