Summary:

The Commercial Loan Documentation Specialist prepares all commercial loan documents including real estate secured, time and demand, letters of credit, small business administration, etc. This position completes extensive review to ensure new and current files are correct, complete, and compliant. The Commercial Loan Documentation Specialist creates and maintains reports of document deficiencies, ensures closing packages have correct documentation, coordinates and facilitates closings, and handle requests for advances and wires.

Essential Duties and Responsibilities:

  • Prepares and processes documents for new and renewal commercial loans.
  • Prepares accurate and timely demands, credit ratings, and processes Uniform Commercial Code (UCC) filing continuations and releases.
  • Prepares loan payoff transactions for teller processing.
  • Prepares adverse action notifications if necessary.
  • Assists in reviewing loan documentation prior to execution by borrower.
  • Assists in timely loan closing and funding activities.
  • Resolves loan exception items timely.
  • Enters commercial loan information into loan processing system timely and accurately.
  • Reconciles commercial loan transactions to the general ledger and ensures that non-posted items are cleared daily.
  • Maintains various credit, collateral, and loan files according to established procedures.
  • May follow-up with borrowers and other sources to obtain necessary documentation, e.g., required financial reporting, other necessary documentation, etc.
  • Responds to customer inquiries by researching, analyzing, and resolving issues in a timely manner.
  • Processes risk rating changes, non-accrual and charge off loan requests in accordance with Bank policy and procedures.
  • May track property taxes, flood insurance, hazard insurance, holdback accounts, and escrow accounts when applicable.
  • Interacts with commercial lenders to obtain information from the borrower or to seek clarification about documents in the loan file.
  • Informs supervisor of discrepancies in the file and obtains direction on how to proceed, as applicable.
  • Records data to track the status of loans in processing.
  • Identify and recommend opportunities for increased efficiencies as appropriate.
  • Research, compile, and prepare reports, manuals, correspondence, or other information required by management or regulatory agencies.
  • Comply with government, regulatory and Bank policies, and procedures.

Education and Experience:

  • High school diploma or equivalent required.
  • Minimum of three years of experience in commercial loan services required.

Skills, Knowledge, and Performance Expectations:

  • Understanding of standard concepts, practices, procedures, regulations, and compliance within the commercial loan origination environment, as well as Bank loan policies and procedures to ensure efficient operations.
  • Working knowledge of commercial lending compliance.
  • Thorough knowledge of loan operating and core systems.
  • Demonstrates proficiency with Microsoft Office programs.
  • Communicates effectively, verbally and in writing, with others in a timely and friendly manner.
  • Works under demanding time constraints and expectations, including prioritizing and handling multiple tasks throughout the day.
  • Works in both autonomous and team settings.
  • Efficiently performs the essential duties and responsibilities of the position.
  • Models a respectful, diverse, inclusive and collaborate work environment.
  • Consistently demonstrate a commitment to policies and procedures, including but not limited to, confidentiality, conflict of interest, and ethical responsibilities.
  • Consistently attends work, meetings and required training or staff events.

Work Environment and Physical Requirements:

  • Position is located at PS Bank location and requires working indoors in environmentally controlled conditions.
  • Ability to travel to training, community and company sponsored events.
  • Ability to tolerate moderate noise levels.
  • Ability to sit or remain sedentary for prolonged periods.
  • Ability to perform repetitive movement by constant operation of all office and computer equipment as required to perform position, such as a computer, copier/printer, fax, calculator/adding machine.
  • Ability to communicate with others to exchange information through telephone conversations, email, writing letters and memos and face-to-face discussions with individuals or teams.
