Duties
- Support medical office management tasks, including appointment scheduling and patient record keeping
- . Daily office operations, including fronT desk responsibilities and multi-line phone systems to ensure seamless communication.
- Oversee schedule management for team meetings, appointments, and events; coordinate calendars efficiently to optimize productivity.
- Handle vendor management by coordinating with suppliers and maintaining strong professional relationships.
- Support human resources functions such as onboarding new employees, and maintaining personnel records.
- Assist with office supply inventory to keep operations within budget and well-stocked.
- Organize filing systems—both digital and physical—to ensure easy access to essential documents.
- Maintain excellent phone etiquette while managing front desk duties and providing exceptional customer service to visitors and callers.
Experience
- Proven experience in office administration or office management roles with a strong background in clerical tasks.
- Supervising experience demonstrating leadership skills in managing teams or administrative staff.
- Proficiency in QuickBooks for accounting tasks such as invoicing, expense tracking, and payroll processing.
- Demonstrated ability in event planning for meetings, company events, or training sessions.
- Strong organizational skills with experience managing schedules, calendars, and multiple priorities simultaneously.
- Knowledge of vendor management processes including negotiating contracts and maintaining supplier relationships.
- Familiarity with human resources procedures such as onboarding, employee records management, and payroll administration.
- Experience working in medical or healthcare office environments is a plus but not required.
