Duties And Responsibilities
- Greet visitors, answer inquiries, provide information about the organization, and direct guests to appropriate team members or meeting areas.
- Manage scheduling and coordination of conference rooms, meeting spaces, and virtual setups; prepare rooms with supplies, beverages, food, and technology as needed.
- Handle incoming and outgoing mail, packages, couriers, and deliveries with accuracy and timeliness.
- Monitor and maintain office supplies inventory: check stock levels, anticipate needs, evaluate products, place/expedite orders, and verify receipt.
- Assist with basic facilities maintenance requests and coordinate with vendors or building management for repairs, cleaning, or improvements.
- Support executive and leadership scheduling: arrange meetings, conferences, teleconferences, travel, and calendars while using discretion and judgment to facilitate priorities.
- Represent leadership as needed by attending meetings, taking detailed minutes, and following up on action items.
- Produce, transcribe, format, edit, retrieve, copy, and distribute various documents, reports, correspondence, and materials.
- Perform other administrative tasks as assigned, working independently within established procedures while maintaining confidentiality and professionalism.

Requirements/Qualifications
- Experience: 2–4 years of administrative, office support, or customer service experience; experience in construction, mechanical services, or professional office environments a plus.
- Education: High school diploma or GED required; associate degree or vocational training in business administration, office management, or related field preferred.
- Physical Demands: Primarily office-based; ability to sit/stand for extended periods, lift/carry light supplies (up to 25 lbs), walk to meeting rooms or storage areas, and perform repetitive tasks (typing, filing, phone use).
- Work Environment/Safety: Professional office setting with hybrid options; occasional exposure to varying noise levels or office equipment; adhere to ergonomic practices and company safety policies—safety is our top priority.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment (printers, copiers, scanners).
