What are the responsibilities and job description for the Data Support Technician position at Providence School District?
The Data Support Technician serves as a direct point of contact for most customer needs connected to the district’s Student Information System (Skyward). This includes receiving and resolving customer requests via Phone, e-mail and internal ticket system, escalating issues to the Executive Director of Student Information Systems or outside vendor, providing training to all users and implementing all user/group security settings.
The Providence Public School District (PPSD) serves approximately 22,000 students (about the seating capacity of Madison Square Garden) attending our 37 schools. PPSD employs more than 3,200 professionals who work in and provide support to our schools, which include 20 elementary schools, 7 middle schools, 11 high schools, and 2 public district charter schools. Of our employees, about 2,000 are educators, and over 600 others directly support our schools' students and families.
Our schools are diverse learning communities. Approximately 68% of our students are Latinx, 15% Black, 7% White, 4% Asian, 5.5% Multi-racial and 1% Native American. Approximately 40% of students are multilingual, and about 16% receive special education services. Approximately 55% of students come from homes where English is not the primary language spoken. Our students and families speak more than 55 languages and hail from 91 countries of origin.

EDUCATION TRAINING AND EXPERIENCE:
- Bachelor’s degree or comparable professional experience in a related field.
MINIMUM QUALIFICATIONS STANDARDS:

Advanced proficiency in Microsoft Excel, including VLOOKUP, INDEX/MATCH, PivotTables and macros.
Key Responsibilities
General duties:
- Provide support via email, phone, or personal meetings on any SIS issues
- Create and maintain SIS user manuals
- Create and maintain training materials for end users on SIS logic
- Responsible for training new and existing PPSD staff members on SIS and ensuring their proficiency with the program for the future. Trainings are specific to the SIS modules needed per position
- Manage security and user permissions for SIS and other Ed Tech systems
- Responsible for any Discipline module related matters for all District Personnel in regards to SIS
- SIS support for all modules (Demographics, Grading, Discipline, Teacher Module, Scheduling, etc.)
- Perform all other duties as assigned
Family/Parent Portal updating:
- Assist schools with Family Issues (linking and unlinking families) on a regular basis
- Provide assistance with Parent Portal accounts (family credentials)
- Provide training as needed for staff
- Respond to incoming requests (work orders/tickets) daily from users
Gradebook module :
- Assist users with their Gradebook in SIS and LMS
- Assist teachers with category weights and assignment input
- Modify transcripts for school staff
- Create and maintain all report cards for all schools
Attendance module:
- Configure Bell rotation for all schools
- Create scheduled task reports for principals to track individual students attendance
- Train clerical and administrators as needed on input of attendance and reporting
Current/Future Scheduling module:
- Import Course Requests
- Assist school staff with modifying course/section master
- Elementary scheduling – Support schools to ensure all schedules are entered accurately into the SIS
- Secondary scheduling – Support school staff to develop master schedule and ensure student schedules are accurate in SIS
Discipline module:
- Support discipline processes for teachers, administrators and parents
- Build discipline reports for all schools
- Work with SAO department to ensure discipline input accuracy by all schools
- Train administration and school clerical staff on input of discipline and reports as needed
Demographics module:
- Modify grade information, enrollment, withdrawal, status for office staff
- Training on SIS
- Registration portal support/training
Label creation and processing:
- Support all clerical and administration needs with label creation and printing
- Build address labels, demographic labels, entry/withdrawal labels and grade labels for all clerical staff
- Train all clerical staff on how to run labels
- Manage clerical staff with running labels throughout the year accordingly
Users and Security:
- Process System Access Forms daily for related SIS account requests. This includes all Teachers, Administrators, Clerks, SPED department specialist, any district approved outside consultants.
- Modify User Account permissions and locations and name changes
- Adjust security groups too best fit the needs of school/admin staff while aligning to districts security practices.
- Add secured users to Entities using HR Database (Lawson) for source information to populate fields
- Administer daily movement of LTS, LTSP, Sub Clerks
- Create custom forms for school staff
- Create excel reports for users
- Building/maintaining security groups
- LMS, SIS and Ed Tech products support for all modules
Salary : $71,721 - $88,080
