POSITION DESCRIPTION: The Building Operations Project Manager provides critical support directly to the Chief Operating Officer while managing a team of internal building operations staff and external vendors. This position will aim to improve the department’s efficiency by streamlining processes and creating clear procedures while identifying opportunities for cost savings without sacrificing quality standards. This role supervises four people total with the following titles: (1) Building Operations Worker, (2) Building Superintendents, and (1) Supplemental Building Superintendent. This person should be experienced at engaging in motivational and strength-based supervision methodologies. The ideal candidate is well-versed in both project management and relationship management with specific experience that requires keeping scopes of work within anticipated budgets and projected timelines with outcomes that successfully meet quality expectations.
QUALIFICATIONS:
· Bachelor’s Degree preferred but sufficient relevant experience with an Associate’s Degree may be substituted.
· Minimum 10-12 years’ experience in Project and/or Operations Management successfully supervising a team.
· Demonstrated creation of standardized best practices, methods, and policies while managing a large department.
· Shows insight and capability to integrate data and analytics into departmental decision-making.
· Exhibits abilities related to organizing, planning, scheduling, and coordinating to meet deadlines.
· Ability to manage multiple competing demands and complex multi-step work projects as a leadership team.
· Collaborative attitude and approach to management maintaining ongoing communications with team members.
· In-depth knowledge of building mechanics, electrical, plumbing, and HVAC systems, certifications preferred.
· Understanding of local/state/federal codes, industry standards in MEP, life safety, fire codes- or willingness to learn.
· Skilled in digital literacy, using maintenance managing software, Google Workspace, Zoom, and Microsoft Office.
· Safely lift and move heavy items, including above the shoulders, which may weigh up to 55 pounds regularly.
· Comfortable climbing multiple floors of steps at a time and using a ladder to complete tasks.
· Valid NYS Driver’s License preferred, or the ability to obtain a NYS Driver’s License within six months of hire.
SALARY AND BENEFITS: The starting salary range for this position is $80,000-$85,000 based on qualifications and experience. Reimbursement for mileage expenses to locations beyond the initial worksite or a monthly unlimited MetroCard is provided. Paid time off benefits include: 14 paid holidays, 3 weeks of vacation, 4 personal days, 12 sick days, and early closure at 12pm on the Friday proceeding any holiday observed on a Monday. RESPONSIBILITIES:
Personnel Management
· Fosters an operations unit culture rooted in teamwork, learning, trauma-informed practice, health/wellness, and safety;
· Supports team members via weekly supervision, unit team meetings, ongoing feedback, and performance evaluations;
· Establishes with COO an agenda of priorities and delegates responsibilities in accordance with advancing these goals;
· Reviews and monitors with COO weekly team workplans, track work orders lifespans, and turnover timelines;
· Oversee the time and attendance for all maintenance team members to identify areas of improvement and efficiency;
· Collaborates to ensure adequate building coverage for all agency operated locations at all times, twenty-four-seven;
Building Maintenance and Repair
· Provides all facets of shift coverage, hands-on support, and internal oversight at all Providence House facilities;
· Support repairs and preventative maintenance work such as: electrical, masonry, plumbing, painting, and carpentry;
· Collaborates with team members to complete seasonal checklist tasks and annually required inspection/certifications;
· Shares responsibility of on-call emergencies for overnights/weekends to swiftly restore safety and security;
· With COO approval, purchases inventory needs and project timelines considering submissions from unit leadership;
Vendor Contract and Relationship Management
· In collaboration with the COO, researches and solicits bids from external parties for ongoing services or projects;
· Conducts unannounced site-inspections to monitor compliance and reconcile reports/contracts with direct observation;
· Serves as the direct liaison with external property managers, including the Brooklyn Diocese, and external vendors;
Building Operations and Compliance
· Updates policies, procedures, workorder response framework, preventative maintenance plans, turnover timelines, proactive maintenance checklists, seasonal checklists, and daily required duties checklists following relevant laws;
· Creates and updates a standard inventory system with methodology for storing/identifying agency property reducing overspending, eliminating unnecessary duplicate purchasing, and curbing economic mismanagement;
· Verifies all building inspections from contract execution to completion through certification with controlling authority (ex: DOB, FDNY, OTDA, DHS, DOHMH, etc.). Proactively files to avoid incidents and responds to violations from OATH, DOB, FDNY, etc. with any necessary paperwork, filings, or reports to clear any complaints or concerns.
· Generates the agency’s safety and disaster plan, striving to maintain a safe working environment through prudent policy, preservation of equipment, and the achievement of safe working practices;
· Safely operates the agency van when driving the vehicle is required to achieve maintenance goals and objectives;
· Ensure consistent enforcement of quality standards across all buildings by implementing thorough inspection protocols, monitoring adherence to established guidelines, and addressing any deficiencies promptly;
· Insists on strict adherence to all applicable safety protocols and industry best practices, and
· Performs other related duties as assigned.
Pay: $80,000.00 - $85,000.00 per year
