Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO. This role is crucial in ensuring the smooth operation of the executive office and requires a blend of administrative expertise, exceptional communication skills, and a keen attention to detail. The ideal candidate will be adept at managing multiple tasks simultaneously while maintaining a high level of professionalism.

Responsibilities

  • Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling meetings.
  • Coordinate and plan events, ensuring all logistics are handled efficiently.
  • Manage communications, including phone calls and emails, with a focus on maintaining professionalism and confidentiality.
  • Handle project coordination, tracking progress and deadlines effectively.
  • Maintain organized filing systems and ensure proper documentation is in place for all office activities.
  • Conduct data entry tasks with precision and attention to detail.
  • Proofread documents for accuracy and clarity before distribution.
  • Utilize Microsoft Office Suite, Google Workspace, and DocuSign for various administrative tasks.
  • Provide customer service support as needed, addressing inquiries with a positive attitude.
  • Manage front desk responsibilities when required, including greeting visitors and handling multi-line phone systems.

Experience

  • Proven experience in an executive administrative support role or as a personal assistant is essential.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools.
  • Excellent typing skills with strong attention to detail in transcription and data entry tasks.
  • Previous office management experience is advantageous, along with clerical experience that demonstrates your ability to handle various administrative functions.
  • Exceptional phone etiquette and communication skills are required to interact effectively with stakeholders at all levels.
