Prominent Financial Consultants is a growing financial services firm seeking a reliable, organized, and bilingual Office Secretary to serve as the first point of contact for our clients and provide day-to-day administrative support to our executive team.
This role is ideal for someone who enjoys keeping an office running smoothly, thrives in a fast-paced environment, and takes pride in delivering a polished, professional client experience.
Key Responsibilities
- Arrive promptly at 9:00 AM and manage the front desk daily
- Greet and check in all visitors and ensure they meet with the appropriate team member
- Communicate professionally with clients in English and Spanish (verbal and written)
- Schedule and coordinate client appointments, meetings, and office activities
- Provide administrative support to the company executive, including:
- Calendar management
- Filing and organizing paperwork
- Travel arrangements
- Event coordination
- Purchase orders and office needs
- Process client payments through Canopy Tax
- Monitor client accounts and ensure no balances exceed 30 days past due
- Maintain all common areas (reception, break room, conference rooms) to be tidy, stocked, and meeting-ready
- Assist with periodic marketing mailers (ordering supplies, preparing labels, stuffing envelopes, mailing)
- Run occasional company errands (office supplies, post office, meeting materials, food for events)
- Support basic social media and marketing efforts (Instagram, Twitter, LinkedIn knowledge is a plus)
- Deliver excellent customer service and help elevate the overall client experience
Minimum Requirements
- Bilingual (English & Spanish) – REQUIRED
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Comfortable working in a fast-paced office environment
- Proficient with Apple/Mac systems
- High school diploma required
- Valid driver’s license
- Reliable, punctual, and professional
- Flexible mindset and willingness to support a variety of administrative and operational needs
