Job Summary
Project 1 Developments is seeking a highly organized and detail-oriented Construction Office Manager to join our team. This role is the backbone of our daily operations, responsible for handling phone and email communications, managing schedules, coordinating with clients, and supporting our field teams with essential administrative tasks. The ideal candidate is professional, proactive, and thrives in a fast-paced environment. Prior experience in a construction office or similar setting is strongly preferred.
Duties and Responsibilities:
· Answer and direct incoming phone calls in a professional and courteous manner.
· Monitor and respond to emails promptly, routing messages to the appropriate team members.
· Serve as the primary point of contact for clients, providing updates, scheduling meetings, and handling general inquiries.
· Coordinate calendars and schedules for project managers, crews, inspections, and client meetings.
· Prepare and organize project documentation, including contracts, permits, insurance, and job files.
· Assist with invoicing, billing, and payment tracking, ensuring all documentation is accurate and submitted on time.
· Maintain office organization and supplies, ordering materials as needed to support smooth operations.
· Submit and track permit applications and other required regulatory documents.
· Support hiring, onboarding, and HR communication as needed (if applicable).
· Assist with project coordination, including updating timelines, managing change orders, and logging job site notes.
· Maintain confidentiality and professionalism when handling sensitive business or client information.
· Ensure smooth communication between field crews, vendors, subcontractors, and clients.
Job Type: Full-time
Pay: $40,000.00 per year
Schedule:
- 8-hour shift
- Monday to Friday
Preferred Experience:
· Previous Experience in a Construction Office Setting
Familiarity with construction terms, project lifecycles, subcontractors, permits, and inspections.
· Office Administration
At least 1 year of experience managing day-to-day office operations, including phones, emails, scheduling, and record keeping.
· Client-Facing Experience
Experience acting as a point of contact for clients, addressing questions, scheduling meetings, and maintaining strong professional relationships.
· Project Coordination Support
Experience assisting project managers or crews with paperwork, timelines, and task follow-ups.
· Handling Invoices and Purchase Orders
Comfortable processing or organizing bills, vendor payments, receipts, and basic bookkeeping
· Use of Construction Management Software
Experience using platforms to manage scheduling, job logs, or communication is a big plus.
· Permit & Licensing Paperwork
Experience submitting or tracking applications for city or state permits and licenses.
