Job Title: Accounting and Operations Coordinator
Job Summary
The Accounting and Operations Coordinator supports the financial and operational functions of the company. This role is responsible for accounts payable and receivable, job-related administrative support, and coordination of day-to-day office and project operations. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced construction environment where priorities shift and teamwork is essential.
Key Responsibilities
Accounting & Financial Support
- Process accounts payable and receivable, including vendor invoices, customer billings, and collections
- Prepare and send progress billings, lien waivers, and job closeout documents
- Reconcile accounts, track expenses, and assist with month-end reporting
- Maintain accurate financial and job cost records
- Coordinate with external accountants, payroll providers, and vendors as needed
Operations & Job Coordination
- Support project managers with job setup, documentation, and tracking
- Maintain job files, contracts, change orders, insurance certificates, and compliance documents
- Track project costs, purchase orders, and subcontractor agreements
- Assist with scheduling, job status updates, and internal reporting
- Serve as a point of contact between the office, field staff, vendors, and clients
Office & Administrative Support
- Manage daily office operations and administrative processes
- Answer phones, manage correspondence, and maintain organized digital and physical filing systems
- Order office supplies and manage vendor relationships
- Assist ownership or management with special projects and reporting
Qualifications
- 2 years of experience in accounting, office management, or operations (construction experience preferred)
- Working knowledge of accounts payable, accounts receivable, and basic bookkeeping
- Proficiency with accounting and project management software (e.g., QuickBooks, Sage, Jobber or similar)
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities independently
- Strong communication skills and a team-oriented mindset
Preferred Skills
- Experience in construction, contracting, or a trade-based business
- Familiarity with job costing and progress billing
- Understanding of lien laws, insurance certificates, and construction compliance (a plus, not required)
Work Environment
This role is based in a small construction office and requires close collaboration with project managers, field staff, vendors, and clients. Flexibility and adaptability are key to success.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
