Job description
We are seeking an Administrative Assistant to support the day-to-day operations of our maritime training school. This role is essential in ensuring that administrative processes, training documentation, and certification records comply with our various approval authorities. The ideal candidate will have strong organizational skills, attention to detail, and a foundational understanding of compliance or quality assurance procedures.
Key Responsibilities
- Provide administrative support across departments to ensure compliance and effective document management.
- Assist with the preparation and maintenance of records related to instructor qualifications, course approvals, training documentation, and student certifications.
- Assist with internal audits and help prepare for external inspections or reviews.
- Track and organize updates to compliance policies, ensuring timely communication of changes to staff.
- Liaise with instructors and staff to maintain proper documentation and adherence to operational standards.
- Maintain well-organized electronic and physical filing systems to ensure quick access to up-to-date records.
- Serve as the Head Invigilator for all proctored examinations, ensuring compliance with examination protocols.
Requirements
- Previous experience in an administrative role, ideally with exposure to compliance or quality assurance processes.
- Strong organizational and multitasking abilities with a high level of accuracy and attention to detail.
- Excellent written and verbal communication skills, along with strong interpersonal abilities.
- Proficiency in Microsoft Office and document management systems.
- Fluent in Spanish a bonus but not required
Pay: $50,000.00 - $65,000.00 per year
