Job Summary
The Senior Client Coordinator is a vital member of the PRS team. They ensure seamless work order coordination and communication, driving efficiency and profitability. They manage emails, calls, work orders, and vendor relationships with accuracy and timeliness. They also assist with accounting issues, support team training, and participate in the on-call rotation. This role requires organizational skills and attention to client satisfaction.
Supervisory Responsibilities:
- Supports and develops Level 1 and Level 2 Coordinators through training, guidance, and coaching.
· Addresses escalated issues with the service team, vendors, and clients.
· Conducts one-on-one meetings with direct reports.
· Depending on the project scope and complexity, the Sr. Client Coordinator potentially leads escalated work orders
Assists team on days of Client Manager/Supervisor absence
Duties/Responsibilities:
- Maintains a well-organized email system to ensure efficient information retrieval and communication within 24 hours.
- Efficiently handles inbound and outbound calls on the group call line, promptly addressing client and vendor inquiries.
- Communicates effectively with vendors, clients, and managers, building strong relationships and resolving issues collaboratively.
- Diligently reviews and verifies client ETAs on each work order, ensuring timely service delivery and client satisfaction.
- Prioritizes and manages individual workflow, ensuring timely resolution of outstanding tasks and client concerns.
- Maintains consistent contact with vendors, providing quotes, invoices, and job status updates, fostering a collaborative environment.
- Performs IVR (Voice Recognition) check-in/out and updates double systems, ensuring accurate records and seamless communication across platforms.
- Proactively updates clients on work order status, keeping them informed and building trust
- Approves work orders up to the client NTE (Not to Exceed), streamlining the authorization process and expediting service completion.
- Scrutinizes quotes for errors and obtains necessary corrections, ensuring accuracy and preventing financial discrepancies.
- Negotiates rates and prices for labor and materials, advocating for cost-effective solutions and maximizing profitability.
- Manages and maintains profit percentage set by the Director, contributing to financial goals and ensuring fiscal responsibility.
- Proactively addresses and resolves financial discrepancies and billing queries, ensuring all accounting-related concerns from clients or vendors are settled quickly to maintain financial accuracy and customer satisfaction.
- Prepares and provides detailed Estimated Time of Arrival (ETA) reports for clients, offering insights into service timelines and aiding in efficient project management and client communication.
- Evaluates incoming work orders and strategically delegates them to dispatch coordinators based on their workload, expertise, and client-specific knowledge, ensuring efficient and effective job allocation.
- Secures necessary client approvals either through direct communication or onsite visits, essential for advancing project stages and ensuring client requirements are met.
- Analyzes and makes informed decisions on client quotes, balancing client satisfaction with company profitability and operational feasibility.
- Provides critical after-hours support on a rotational basis, ensuring continuous service availability and addressing urgent client or operational needs.
