About the Role
Professional Marine is hiring a Front Office Assistant to be the first and last impression for every customer we serve. This is a full time position at our marine service center in Hayden, Idaho.
You will be assisting our front office manager. You will be handling customers phone calls, filling out work orders, coordinating with service managers and making sure every customer feels taken care of from drop-off to pick-up. What You'll Do
- Greet customers in person and manage incoming calls with professionalism and warmth
- Coordinate scheduling and job workflow with service managers and forklift drivers
- Ensure accurate documentation on every job notes, photos, customer approvals
- Follow up with customers post service for satisfaction and future service scheduling
- Support the ownership group with operational tasks as needed
- Maintain organized front office systems, records, and communication logs
- Identify and communicate additional service needs to customers clearly and honestly
- Manage multiple open jobs simultaneously without losing details

What We're Looking For
Required:
- 2 years in a customer-facing role service advisor, front desk, service coordinator, or similar
- Strong phone and in-person communication skills
- High attention to detail and consistent follow through
- Ability to juggle multiple jobs and priorities without losing accuracy
- Valid driver's license with a clean driving record
- Must pass background check and drug screen
- Located within 60 minutes of Hayden, ID or willing to relocate
Preferred:
- Experience with customer service and software systems is a plus
- Comfort with upselling or communicating additional service recommendations to customers
- Experience managing customer satisfaction and service follow-up workflows
