Job Title: Office Assistant
Reports To: Owner/Operator
Position Summary
We are seeking a reliable and detail-oriented Office Assistant to support daily administrative and accounting operations. This role is responsible for assisting with office organization, filing, data entry, QuickBooks support, accounts receivable and accounts payable assistance, and general day-to-day office tasks. The ideal candidate is organized, dependable, and able to multitask in a fast-paced office environment.
Key Responsibilities
- Perform daily administrative and clerical tasks to support office operations
- Maintain organized filing systems for physical and digital documents
- Complete accurate data entry and maintain company records
- Assist with accounts receivable tasks including invoicing, payment tracking, and customer account follow-up
- Assist with accounts payable tasks including invoice processing and vendor documentation
- Support bookkeeping and accounting functions using QuickBooks
- Make copies, scan documents, and distribute paperwork as needed
- Answer phones, take messages, and assist with basic customer service inquiries
- Maintain office supplies and assist with ordering inventory when needed
- Help prepare reports, spreadsheets, and other office documents
- Assist management with special projects and additional office duties as assigned
Qualifications
- High school diploma or equivalent required
- Previous office or administrative experience preferred
- Basic knowledge of bookkeeping and accounting practices preferred
- Experience with QuickBooks preferred
- Strong computer skills including Microsoft Office programs
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Ability to handle confidential information professionally
- Good communication and interpersonal skills
- Ability to multitask and work independently
- Construction experience preferred by not required
