Position Overview:
The People Systems Implementer is responsible for helping turn organizational priorities, ideas, and decisions into successfully implemented programs, processes, and systems. This is an execution-focused role designed for someone who is highly organized, action-oriented, and motivated by moving work from concept to completion. The People Systems Implementer will partner with functional leaders who own the strategy and long-term processes, while taking responsibility for the planning, coordination, documentation, rollout, and follow-through required to successfully implement or improve those processes.
The role will initially focus heavily on Human Resources (HR) and shared services initiatives but may support projects across affiliated companies and other business functions based on organizational priorities.
Primary Responsibilities
Project Management & Implementation
- Translate organizational priorities and approved initiatives into clear, actionable project plans.
- Establish project scope, milestones, timelines, responsibilities, dependencies, and deliverables.
- Coordinate work across stakeholders, clarify commitments, and drive accountability for meeting deadlines.
- Maintain project momentum through consistent follow-up, problem solving, and accountability.
- Identify risks, unresolved decisions, resource constraints, and other barriers to successful implementation.
- Escalate issues appropriately while proactively resolving issues within the project team's control.
- Manage projects through implementation, stabilization, and transition to the appropriate long-term process owner.
Process Improvement
- Partner with functional leaders to evaluate existing processes and identify opportunities for improvement.
- Map current-state processes and help design practical future-state workflows.
- Identify inefficiencies, unclear ownership, unnecessary steps, communication gaps, and opportunities for automation or standardization.
- Develop processes that are practical, scalable, documented, and sustainable.
- Gather stakeholder feedback and recommend adjustments following implementation.
- Reinforce strong culture and values alignment. Embed hospitality mindset in processes.
- Help establish measures to determine whether implemented changes are producing the intended results.
Change Management & Adoption
- Develop implementation and rollout plans for new programs, processes, and systems.
- Coordinate communications, training, resources, and stakeholder engagement necessary for successful adoption.
- Create guides, templates, procedures, workflows, and other supporting materials.
- Monitor adoption following implementation and address barriers or gaps.
- Ensure affected employees and leaders understand new expectations, responsibilities, and processes.
Documentation & Knowledge Management
- Develop and maintain project plans, process documentation, playbooks, standard operating procedures (SOPs), implementation resources, and decision records.
- Ensure new or improved processes have clearly identified owners and responsibilities.
- Create effective handoff documentation before transitioning projects into ongoing operations.
- Support efforts to improve organizational knowledge management and access to information.
Cross-Functional Support
- Work with HR, Operations, Finance, and other functional leaders on initiatives requiring cross-functional coordination.
- Support projects across affiliated organizations when appropriate.
- Partner with more experienced internal project resources on larger or more complex initiatives.
- Take on new implementation and process-improvement priorities as organizational needs evolve.
Qualifications
- 2–5 years of experience in project coordination, project management, implementation, operations, consulting, process improvement, or a related field.
- Demonstrated ability to organize and move projects from concept through completion.
- Strong organizational skills with exceptional follow-through and attention to detail.
- Ability to take loosely defined objectives and create structure around them.
- Strong written and verbal communication skills.
- Comfortable coordinating work involving multiple stakeholders and levels of leadership.
- Ability to manage multiple projects and competing priorities simultaneously.
- Strong problem-solving and process-thinking skills.
- Comfortable learning new business functions, systems, and subject matter.
What Success Looks Like
The Project Manager is successful when important initiatives consistently move from decision to implementation.
Success means completing projects, ensuring stakeholders understand their responsibilities, documenting processes, driving adoption of new programs, proactively addressing problems, and successfully transitioning completed initiatives to the individuals responsible for sustaining them long term.
This role expands the organization's capacity to install and improve systems while allowing functional leaders to focus on owning their areas of responsibility without personally project-managing every improvement initiative.
