How You Will Make an Impact:
The Medical Records Specialists plays a key role in ensuring the smooth, secure, and timely handling of patient health information across the organization. This individual oversees the centralized medical records inbox, manages incoming requests, and helps ensure records are processed accurately and in full compliance with HIPAA and state regulations. Serving as a reliable point of contact for patients, healthcare partners, and internal teams, the Specialist brings a strong sense of accountability, attention to detail, and commitment to confidentiality. The ideal candidate is organized, responsive, and collaborative, with a focus on delivering excellent service while supporting compliance, quality standards, and continuous process improvement.
What You Will Do:
- Manage and prioritize incoming medical records requests through the centralized inbox to ensure timely processing.
- Process requests from patients, healthcare facilities, insurance carriers, and legal representatives in compliance with HIPAA and state regulations.
- Review and validate authorizations prior to releasing protected health information (PHI).
- Prepare, compile, and securely transmit records within established turnaround times.
- Accurately document and track all requests to maintain compliance with internal and regulatory standards.
- Safeguard patient confidentiality and uphold strict privacy and security practices at all times.
- Respond to patient inquiries regarding records requests, status updates, and release procedures in a professional manner.
- Collaborate with clinical and operations teams to ensure completeness and accuracy of records.
- Conduct quality assurance checks prior to release to ensure accuracy and legibility.
- Support audits, subpoenas, legal requests, retention practices, and ongoing compliance initiatives.

What You will Bring:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 1–3 years of experience in medical records, health information management, or a healthcare administrative role preferred.
- Working knowledge of HIPAA and state privacy regulations.
- Experience with electronic health record (EHR) systems and secure document transmission methods.
- Strong attention to detail, organizational skills, and ability to manage multiple priorities.
- Excellent written and verbal communication skills with a service-oriented approach.
- Ability to handle sensitive information with professionalism and discretion.

Work Location: Hybrid in Austin, TX
Work Hours: Monday through Friday from 8am - 5pm
