The Role: Move-In Coordinator
As a Move-In Leasing Coordinator, you are the first impression of Pro X. You play a critical role in maintaining occupancy and delivering an exceptional move-in experience.
You’ll actively engage with prospective residents, nurture leads, schedule showings, assist with applications, and coordinate move-ins from start to finish. This role directly impacts leasing performance and resident satisfaction across our Southeast Kansas portfolio, with currently 500 homes under management.

Key Responsibilities
- Responding to and nurturing leasing leads via phone, text, and email
- Marketing available homes on syndicated platforms and Facebook Marketplace
- Scheduling and coordinating property showings
- Guiding prospects through the application and approval process
- Coordinating all move-in requirements and orientations
- Managing keys through digital platforms
- Supporting move-outs and deposit coordination as needed
- Communicating with property owners when necessary
- Conducting basic market analysis and assisting with rent recommendations and renewals
- Maintaining accurate data across internal systems and reports
- Delivering outstanding customer service at every touchpoint

Experience & Skills We’re Looking For
- 1–2 years of customer service, sales, hospitality, retail, or leasing experience
- Strong verbal and written communication skills
- Comfort speaking with people all day — especially on the phone
- Experience following up with leads and guiding customers to decisions
- Goal-oriented mindset with pride in results
- Strong problem-solving and objection-handling skills
- Tech-savvy; experience with CRMs or property management software is a plus

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:
1-2 years of experience in sales, customer service, or a related field (leasing, hospitality, retail, or call center experience is a plus).
Certificates, licenses, registration:
Kansas Real Estate License preferred but not required.
SKILL SETS:
Computer Skills:
Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Access, and Outlook) and the Internet. Proficiency in coordinating and updating shared file formats.
Experience in AppFolio or similar SaaS application preferred.
Communication Skills:
Ability to read, write, speak and understand English well. Excellent phone etiquette skills are important. Proofreading and dictation skills a requirement.
Excellent grammatical and spelling skills necessary. Ability to keep matters confidential.
Language Skills
Ability to read and interpret documents such as rules, instructions and procedures. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, tenants, customers and the general public.
Math Skills:
Ability to add, subtract, multiply and divide all units of measure including
American money and weight. Ability to compute rate, ratio and percentages and calculate figures and amounts such as discounts, interest, commissions and area. Ability to draw and interpret bar graphs.
Reasoning Ability:
Ability to apply common-sense understanding to carry out instructions in written, oral or diagram form.
Ability to solve practical problems and deal with an extensive variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Ability to define problems, collect data, establish facts and draw valid conclusions.
Ability to organize and plan effectively and ability to think analytically to solve problems and make proper decisions.
