Job Summary

Pro Fleet Solution is seeking a highly organized and detail-oriented Automotive Service Writer to support our growing fleet maintenance operation. Unlike a traditional dealership or retail repair shop, our focus is fleet contracts and commercial accounts. Our customers are not looking to be sold additional services—they trust us to identify, document, and complete the repairs necessary to keep their vehicles operational.

The ideal candidate understands the importance of accuracy, communication, and efficiency. This role requires strong attention to detail to ensure technicians receive accurate repair information and the correct parts are ordered the first time, minimizing downtime for our fleet customers.

Responsibilities

• Create and manage repair orders for fleet vehicles and equipment.
• Accurately document customer concerns, technician findings, and repair recommendations.
• Review technician inspections and convert findings into clear repair estimates and work orders.
• Source and order the correct parts based on vehicle specifications, VIN information, and technician recommendations.
• Coordinate with vendors and suppliers to ensure timely parts delivery.
• Communicate repair status updates with fleet managers and account representatives.
• Track repair progress and ensure work orders are completed accurately and efficiently.
• Maintain organized service records and documentation.
• Assist with warranty claims, vendor invoices, and repair approvals as needed.
• Work closely with technicians to ensure all required parts and labor operations are properly documented.

Qualifications

• Previous experience as a Service Writer, Service Advisor, Parts Specialist, or related automotive role preferred.
• Strong understanding of automotive systems and repair terminology.
• Experience with fleet maintenance operations is a plus.
• Excellent organizational and communication skills.
• Proficient with computer systems and service management software.
• Ability to manage multiple repair orders simultaneously.
• Valid driver's license.
