Position Summary
We are seeking a Patient Coordinator with strong administrative and operational skills to serve as the central point of the office. This role combines patient care, dental billing, scheduling, sales, and office operations, with growth potential and performance-based bonuses.
This is not an entry-level position. We are looking for someone confident, organized, and comfortable taking ownership of the day-to-day flow of the office.
Compensation
- $23–$25 per hour, based on experience
- Performance & sales bonus (discussed during the interview)

Key Responsibilities
Patient Care & Sales
- Greet and assist patients in person and by phone
- Present treatment plans, fees, and payment options
- Collect payments and close treatments
- Follow up on treatment acceptance and outstanding balances
- Strong patient communication, empathy, and sales psychology
Dental Billing & Insurance
- Dental billing for PPO insurance plans (REQUIRED)
- Creation of pre-estimates and benefit verification
- Follow-up on claims and payments
- Experience with Medicare billing is a PLUS
Office Operations & Administration
- Patient and doctor scheduling
- Oversee daily office operations and workflow
- Track important dates (licenses, permits, renewals, etc.)
- Coordinate payments for rent, utilities, and services
- Provide direct administrative support to the doctor
- Act as a central organizer for all office-related matters
(similar to an executive assistant / office administrator role)
Marketing, Systems & Technology (PLUS)
- Familiarity with CRM systems (PLUS)
- Experience with Open Dental (PLUS)
- Ability to assist with patient follow-ups and lead management
- Social media skills or marketing awareness is a plus
Requirements (Mandatory)
- Previous experience in a dental office
- Bilingual: English & Spanish (REQUIRED)
- Strong knowledge of:
Patient coordination
Dental PPO billing
Scheduling
Treatment presentation and sales
Excellent communication and interpersonal skills
Highly organized, detail-oriented, and reliable
Preferred / Plus
- Experience with Medicare dental billing
- Experience using Open Dental
- Knowledge of CRM systems
- Additional languages (Portuguese, French, etc.)
- Experience in cosmetic or boutique dental practices
