Executive Support

Executive Support
- Provide executive administrative to support to the CMO (e.g., calendar , expenses, travel logistics )
- Serve as the primary coordinator for strategic initiatives and leadership activities led by the CMO, including the Physician Leadership Council and Medical Director Council
- Schedule, plan, and manage logistics for monthly physician leadership meetings, including agenda creation, materials development, and follow-up communication
- Draft correspondence, executive summaries, and briefing materials for internal and external physician audiences
- Develop agendas, content, and minutes for Executive Staff Meetings
- Activities and related support may be after-hours to accommodate physician schedules
- Work with functional areas ( e.g., F inance, D ata A nalytics, RCM , O perations) to adjust and track on physician-leadership related KPIs and reporting
- Organize, document, and track on physician-leadership council goals, initiatives, and KPIs
- Lead and manage meetings with corporate and operations partn ers as they relate to CMO initiatives
- Schedule , coordinate, and manage meetings related to new physicians (“New Physician Day , ” CMO-site visits )
- Lead the new physician mentorship program in collaboration with CMO and supporting corporate functions
- Promote new physician engagement and culture via continue d communication and maintenance of communication channels
- Work with recruiting liaison team to ensure seamless onboarding of new physicians and isolate areas of support from the CMO
- Lead planning and execution of physician-facing events such as the annual physician retreat and leadership summits
- Develop slides and materials for physician-facing events
- Coordinate with internal stakeholders to ensure seamless execution of event logistics
- Create and maintain event timelines, trackers, and budgets
- Adapt quickly to new, high-priority initiatives impacting the CMO and physician experience
- Track physician-related projects, timelines, and deliverables, ensuring clarity, alignment, and accountability across teams
- Develop and maintain trackers and project documents to keep stakeholders informed
- Liaise with cross-functional departments (e.g., HR, Operations, Marketing) to ensure successful execution of physician initiatives
- Conduct routine site-visits with CMO to meet with physician and staff
- Help develop initiatives to strengthen physician community, connection, and culture across PRISM
- Support efforts to document and share physician best practices across the network
- Bachelor’s degree required ; background in healthcare administration, communications, or project management required
- 2–4 years of experience in project coordination and executive support
- Exceptionally organized and detail-oriented
- Comfortable working with high-level executives and physician stakeholders
- Strong written and verbal communication skills
- Proficient in Microsoft Office (PowerPoint, Excel, Outlook, Word) and project tools (e.g., Smartsheet, Teams)
- Professionalism, discretion, and a collaborative, can-do attitude
- Remote position with travel required for retreats , occasional in-person events , and clinic site visits (25%)
Salary : $80,000 - $100,000
