About the Position

Prism Career Institute is seeking an experienced Financial Aid Advisor who can independently manage financial aid files while also working directly with students on balances, payment arrangements, and collection follow-up

Responsibilities:

• Advise students and families on financial aid eligibility, required documents, timelines, and student financial responsibility.
• Review FAFSA and ISIR information and supporting documentation.
• Complete Title IV and applicable state aid packaging accurately and on time.
• Manage verification files and resolve conflicting or incomplete information.
• Conduct financial aid orientations, entrance counseling, and exit counseling.
• Review student files for accuracy, completeness, and compliance.
• Maintain complete documentation in Anthology SIS.
• Follow up with students regarding missing documents, financial aid requirements, balances, and payment deadlines.
• Explain tuition balances, payment schedules, and approved third-party tuition options.
• Contact students regarding past-due balances and document all collection efforts.
• Establish and monitor approved payment arrangements.
• Accept, process, and receipt non-Title IV student payments in accordance with institutional procedures.
• Escalate delinquent accounts and broken payment arrangements when required.
• Coordinate with Student Accounts and Accounting regarding payments, refunds, reconciliations, and account adjustments.
• Assist with audits, program reviews, and financial aid compliance activities.
• Maintain current knowledge of federal, state, and institutional financial aid requirements.

Performance Expectations:

• Accurate and timely completion of assigned financial aid files.
• Weekly follow-up on verification and incomplete files.
• Timely completion of appointments and packaging.
• Consistent collection follow-up and documentation.
• Same-day posting and receipting of payments collected.
• Prompt and professional response to students and staff.
• Compliance with financial aid, cash-handling, and collection procedures.

Qualifications:

• At least 2 years of hands-on financial aid experience.
• Experience reviewing ISIRs, completing verification, and packaging Title IV aid.
• Working knowledge of federal financial aid regulations.
• Experience discussing student balances, collecting payments, and managing payment arrangements.
• Experience with COD and NSLDS strongly preferred.
• Experience using Anthology SIS strongly preferred.
• Clock-hour or career-school experience preferred.
• Strong communication, organization, follow-up, and attention to detail.
• Ability to manage an assigned caseload and difficult financial conversations independently.
• High school diploma or equivalent required; associate or bachelor’s degree preferred.
