OFFICE ASSISTANT with QuickBooks experience (Lockport, IL)We are seeking a highly organized and detail-oriented Office Assistant to join one of our clients. The ideal candidate will be responsible for ensuring the smooth operation of the office, managing various administrative tasks, and providing support. This role requires excellent communication skills, proficiency in office management software, and the ability to handle multiple priorities effectively.*** PLEASE thoroughly read the job description & requirements prior to applying ***DUTIES:Manage the front desk operations, including greeting visitors, answering phone calls, sorting mail and handling inquiries.Handle payroll processing and maintain accurate records of employee attendance and leave (also process certified payroll).Handle accounts receivable and payableHandle union reports and filingManage inventory and place orders when necessarySchedule meetings, appointments and maintain the office calendarOversee vendor relationships and manage office contracts effectivelyCommunicate effectively with staff members, clients and vendors to ensure smooth operations.Review and handle invoicing and contracts and waiversDraft correspondence and other formal documents, emails, contracts, invoices, waiversManage maintenance logs for all equipmentOther duties as requestedREQUIREMENTS for this position:Proficient in QuickBooks experience is a must please make sure your resume reflects your experienceProven experience in an office administration role or similar position.Proficient in office management software (MS OFFICE SUITE)EXCEL Experience is a MUSTStrong organizational skills with the ability to prioritize tasks effectivelyExcellent communication skills both written and verballyPAYROLL EXPERIENCE (Certified PAYROLL EXPERIENCE is a plus)Strong vendor management skillsAbility to prioritize and multitaskStrong organizational skills and attention to detailAccounts Receivable and Payable experienceA proactive approach to problem-solving with strong decision-making capabilities.This is an IN OFFICE position in Lockport, ILBONUS:Union filing experience is a plusWaivers and AIA Billing is a plusConstruction office background is a plusTrucking experience is a plusWeekly pay, $25 hour,Medical, Dental & Vision benefits, Retirement & PTO availableMon-Friday 7am-4pm or 8am-5pmWe are looking for someone with longevity as this is a temp to hire position for the right candidate.*** AN UPDATED RESUME IS REQUIRED for this position ***If you are a motivated individual looking to contribute to a dynamic team environment while managing essential office functions, we encourage you to apply for this exciting opportunity as an Office Assistant.
