Patient Care Coordinator – Priority Physical Therapy
Priority Physical Therapy is seeking a friendly, organized, and detail-oriented Patient Care Coordinator to join our growing team. This position is an essential part of our patient care team, providing exceptional customer service while supporting the administrative, insurance, and billing processes that allow our patients to receive quality physical therapy services.

Key ResponsibilitiesPatient Care & Front Office Operations
- Greet and welcome patients while creating a positive and professional first impression
- Provide outstanding customer service to patients, families, physicians, and referral sources
- Schedule new and follow-up physical therapy appointments while optimizing therapist schedules
- Manage cancellations, rescheduling, and appointment confirmations
- Assist patients with registration, intake paperwork, and required documentation
- Answer phones, respond to emails, and manage fax and mail correspondence
- Maintain a clean, organized, and professional front office environment
Insurance Verification & Authorization Management
- Verify patient insurance benefits, eligibility, and coverage prior to treatment
- Communicate insurance benefits, patient responsibilities, copays, deductibles, and out-of-pocket expectations to patients
- Obtain and maintain required insurance authorizations for physical therapy services
- Manage authorization requests, updates, and expiration dates to ensure uninterrupted patient care
- Process workers’ compensation authorizations and communicate with adjusters, employers, and referring providers as needed
- Document insurance verification and authorization details accurately within the patient management system
Medical Billing & Revenue Cycle Support
- Submit daily billing files and ensure accurate claim submission
- Review patient accounts for accuracy and assist with resolving billing issues
- Monitor incoming payments, insurance remittances, and outstanding balances
- Assist with accounts receivable follow-up and insurance claim status inquiries
- Collect patient payments and maintain accurate payment records
- Ensure documentation supports billing requirements and compliance standards
- Communicate with patients regarding billing questions and payment expectations in a professional manner
Administrative Support
- Maintain accurate patient records and documentation
- Communicate with referring physicians regarding referrals, plans of care, and required documentation
- Prepare daily and weekly administrative reports
- Perform data entry and utilize Microsoft Office applications
- Assist with additional administrative duties and projects as needed
Qualifications
- High School Diploma or equivalent required
- 1–2 years of medical front office, healthcare administration, or customer service experience preferred
- 1–2 years of medical billing, insurance verification, or authorization experience preferred
- Experience working in a physical therapy, rehabilitation, physician office, or outpatient healthcare setting preferred
- Knowledge of insurance benefits, medical terminology, and billing processes preferred
- Strong communication and interpersonal skills
- Excellent organization, multitasking, and problem-solving abilities
- Ability to prioritize tasks and work independently in a fast-paced environment
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office (Word, Excel, Outlook) and electronic medical record systems
