Job Overview
The Litigation Legal Assistant will perform diverse secretarial duties for three or more attorneys in our Litigation Practice Group, including office workflow, client contact, written and verbal correspondence, billing, meeting and calendar management, transcription, special projects, monthly time and expense reporting, filing and records control.
The successful candidate will maintain strict confidentiality on issues of a sensitive nature. Must be a professional who is extremely organized and pays strict attention to detail.
Essential Duties and Responsibilities
- Draft, type and proofread legal letters, memos, documents and reports
- Maintain paper and electronic records through filing, retrieval, retention, storage, compilation, coding, updating and destruction
- Coordinate activities related to the attorneys
- Receive, screen and route phone calls, mail and correspondence
- Act as interface for clients
- Manage complex attorney calendar using Microsoft Outlook; resolve scheduling conflicts and prioritize commitments
- Communicate agendas and respond to calendar changes as needed
- Confirm external meetings
- Responsible for accurate timekeeping and billing of attorney time; review, revise and coordinate monthly bills with the Billing Manager
- Coordinate travel arrangements
- Prepare and submit expense reports electronically
- Coordinate client and matter intakes for attorneys; run preliminary conflict checks for new clients and matters
- Know the formal and informal departmental goals, standard, policies and procedures
- Is sensitive to the relationship among attorneys, clients and coworkers
- Carry out duties and responsibilities with minimal supervision
- Work as part of a client management team by making some independent decisions and establish work priorities on essential procedure-oriented operations
- Exchange non-routine information using tact and persuasion as appropriate
Experience
- High school diploma or GED required
- 3 - 5 years of experience supporting attorneys
- Outstanding verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to meet deadlines, prioritize assignments and juggle multiple tasks simultaneously
- Strong interpersonal skills; position requires demonstrated poise, tact and diplomacy
- Ability to interact and communicate effectively with all internal and external clients
- Ability to handle sensitive information and issues effectively with a high level of confidentiality
- Comprehensive knowledge of computer software applications such as Microsoft Office, including Word, Excel and Outlook, Workshare, iManage, Aderant and Chrome River
- Knowledge of billing and other time entry functions preferred
- Flexibility for overtime required
Job Type: Full-time
Pay: $65,000.00 - $85,000.00 per year
