The Prince George's County Office of Law is currently seeking qualified applicants to fill an Assistant Office Manager/Contracts Administrator (Administrative Assistant 2G) grade G21 position, in the Administrative Support Division.
About The Position
This is a professional level administrative position in the County Attorney’s Office. Incumbent acts as the assistant to the Office Manager, County Attorney, Principal Deputy County Attorney and Deputy County Attorneys and performs advanced administrative duties, exercising independent judgment to relieve the Office Manager, County Attorney, Principal Deputy County Attorney and Deputy County of a considerable amount administrative detail.
About The Agency
The mission of the Office of Law is to provide the County government and its agencies, boards and commissions with cost effective, quality representation in all matters requiring legal advice and review, to diligently and fairly enforce the civil laws of the County, and to be responsible and proactive in providing legal services and advice to our clients. The Office of Law is comprised of three divisions, each of which is supervised by a Deputy County Attorney. The divisions are: Litigation, Transactional, and Government Operations.

Examples of Work
- Provides professional, legal administrative support to the Office Manager, County Attorney, Principal Deputy County Attorney, Deputy County Attorneys and Associate County Attorneys. Applies a broad knowledge of the functions of County government to assist the management staff in the overall administrative operations of the Office of Law.
- Prepares and drafts correspondence on behalf of the County Attorney, Principal Deputy County Attorneys, Associate County Attorneys and Office Manager.
- Assists County Attorney, Deputies and Office Manager with personnel related matters and functions.
- Assists with onboarding and training of new employees on established County and office policies and procedures.
- Serves as office liaison for the Office of Information and Technology; ensures office and computer equipment are assigned/functioning properly and/or security liaison; coordinating and tracking security and parking pass access for Agency personnel.
- Performs a variety of special projects as assigned by the County Attorney, Deputy County Attorneys and/or Office Manager, including assisting with Agency budget development and risk management recoveries.
- Serves as an administrator for the Agency’s specific file management and research software applications.
- Acts as liaison with courts, clients, agencies and investigators.
- Maintains and oversees preparation and execution of legal services contracts and coordinates Agency contract processes in the County vendor workflow and management systems.
- Reviews invoices for accuracy, timely submission and payment.
- Provides high level of customer service to all involved by conveying a favorable impression of the Office of Law.
- Serves as an approved credit card holder.
- Processes payment requests for travel and training vouchers.
- Acts as Agency Records Administrator; establishes, maintains and up-dates files for County Attorney, Principal Deputy County Attorneys, Deputy and Associate County Attorneys and Office Manager.
- Bachelor’s degree from an accredited College or University in Liberal Arts, one of the Social Sciences, or Public or Business Administration; or field closely related to Law
- One (1) year of secretarial and general clerical work experience or related functional area.
Preferred Qualifications
- Must have experience in a law office setting.
- Three (3) years of secretarial/administrative experience which involved working with the public, office management and critical operational details and confidential institutional and/or personal information.
- Considerable knowledge of the principles and practices of public administration.
- Considerable knowledge of modern office practices, procedures and methods and their efficient application to administrative details.
- Considerable knowledge of modern research techniques, methods and procedures.
- Considerable knowledge of the principles, methods and practices of governmental finance, budgeting and accounting.
- Ability to provide technical guidance to subordinate level personnel in the accomplishment of the normal and routine activities of the department to which assigned.
- Ability to analyze, interpret and submit oral and written reports on research findings.
- Ability to analyze the functions and procedures of the division to which assigned and suggest modifications and improvements.
- Ability to establish and maintain effective working relationships with employees, County officials and the public.
