Summary: Responsible for greeting customers and visitors at the reception desk and operates multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties:

Essential Duties and Responsibilities:

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitor access and issues passes when required.
  • Maintains and updates conference room scheduling.
  • Receives, sorts, and routes mail, and maintains and routes publications.
  • Participates in department/Organization activities.
  • Other duties may be assigned.

Qualifications:

  • The right candidate will have strong interpersonal and communication skills. Individual should be comfortable speaking to customers, vendors and employees both over the phone and in-person. This individual will be the first impression on guests so we want to provide the best customer service possible!

Education and/or Experience

  • One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Skills

  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one situations.
  • Ability to effectively give information and respond to questions from managers, employees, customers and suppliers.
  • Uses appropriate language. Observes common courtesy and discretion.

Mathematical Skills

  • Ability to apply basic mathematics. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

  • Must have proficient knowledge of Microsoft Office, Outlook, and typing experience.

  • While performing the duties of this job, the employee is mostly sedentary. Very occasional walking with long periods of time sitting at the desk. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand; stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 10 pounds.

Job Type: Full-time

Pay: $19.00 - $22.00 per hour
