The Department of People and Culture Administrative Assistant is an entry-level position that provides administrative support to the People & Culture team at Primo Medical Group. Responsibilities include assisting with maintaining employee records, helping with communications, and providing reception coverage at multiple locations during lunches, breaks, and vacations.

Key Responsibilities

  • Help maintain employee records and files in compliance with company policies.
  • Assist with onboarding and orientation by preparing materials, scheduling sessions, and collecting required documentation.
  • Assist with scheduling interviews and meetings.
  • Provide clerical support such as copying, filing, scanning, and data entry.
  • Monitor department inbox and route questions to the appropriate team member.
  • Support employee engagement initiatives and company events.
  • Support communications by drafting reminders, announcements, and updates.
  • Greet and assist employees and visitors; provide reception coverage at multiple locations during lunches, breaks, and vacations.
  • Perform other administrative tasks as assigned to support the People & Culture team.
  • Offer flexible support to senior management by completing various administrative tasks, projects, and occasional errands as required.

Qualifications

  • High school diploma or equivalent required; some college coursework or degree in Human Resources or related field preferred.
  • Prior administrative or office experience is helpful but not required.
  • Strong attention to detail, organization, and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams); willingness to learn our systems.
  • Positive, professional, and team-oriented attitude with an interest in learning.

Work Environment

  • This role is based on-site at Primo Medical Group during standard business hours.
  • Occasional flexibility may be required to support events or deadlines

Supervisory Responsibilities

  • This role has no supervisory responsibilities

Language Skills

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

  • While performing the duties of this job, the employee is mostly sedentary. Occasional walking with long periods of time sitting at the desk. The employee must be able to lift approximately 15-20 lbs. and /or move up to 15-20 pounds.

Job Type: Full-time

Pay: $21.00 - $25.00 per hour
