Job Overview
We are seeking a dynamic and organized Office Administrator/Receptionist to join our team! Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately with professional phone etiquette
  • Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
  • Perform data entry, filing, and document proofreading to maintain accurate records and organized files
  • Utilize office software such as Microsoft Office Suite and Google Workspace for document creation, editing, and communication
  • Assist with calendar management, scheduling meetings, and coordinating appointments for staff members
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Maintain office supplies inventory, order necessary materials, and ensure the workspace remains tidy and functional
  • Provide clerical support such as photocopying, scanning, and preparing reports or presentations as needed

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
  • Prior experience working at a front desk or reception area with effective phone etiquette skills
  • Ability to handle multi-line phone systems confidently and professionally
  • Bilingual abilities are highly desirable to assist diverse clients and team members effectively
  • Strong clerical skills including data entry, filing, proofreading, and document management
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Exceptional time management skills with the ability to prioritize tasks efficiently
  • Previous experience in customer service or customer support roles preferred
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
