What are the responsibilities and job description for the Front Office Receptionist position at Interventional Spine and Pain Institute?
Job Summary - Interventional Spine and Pain Institute is seeking an experienced full-time Front Office Medical Receptionist for our office and someone who is a team-player with exceptional customer service skills, capable of providing the outstanding patient experience characteristic of Interventional Spine and Pain Institute.
Thoroughly understand front office process from check in, to scheduling and check out protocols, including all admin functions (scanning, medical record fulfillment, answering – triaging calls in/out, scheduling, digital fax inbox)
- Understands schedule optimization, consolidating schedule gaps with proactive management of schedules to maximize provider time with patient appointments
- Actively answer incoming calls and follow up on voicemail messages daily, providing great customer service to patients
- Returns any voicemails within a strict service standard (same day)
- Point person to maintain fax inbox in EMR, processing, routing and assigning accordingly
- In house contact to process patient medical record requests
- Backup and coverage of check in/out employee when needed
- Actively maintain waitlist with constant follow up and patient outreach
- Communicate with authorizations representative regarding add-on office visits, procedures and any visit/appointment types that require referral/authorization based on insurance
- Contact NO SHOW patients and reschedule accordingly
- Scan and file documents daily
- All other administrative responsibilities as applicable
Qualifications
- At least 2 years of experience in front office responsibilities in a medical office setting
- Knowledge of EMR and/or Electronic Practice Management systems and technologies, preferably eCW (eClinical Works), Outlook and Microsoft Word
- Understanding of insurances, plan specifics, referrals, authorizations and eligibility checks
- Thorough understanding of visit types (ie, New Patient, Follow up, Injection, etc) and medical terminology
- Must be able to multi – task while expressing compassion and kindness to patients, maintaining a professional and upbeat attitude; respect for all office staff
- Skill in written and verbal communication and customer relations
- Ability to work with effectively with medical staff, management, authorizations, external agencies and patients
- Requires sitting and standing associated with a normal office environment
- Normal busy office environment with much patient contact
