What are the responsibilities and job description for the Fulfillment Specialist position at Prime Snax?
Position summary
Prime Snax is seeking a dependable, detail-oriented Fulfillment Specialist to execute daily ecommerce order fulfillment at our primary production and fulfillment location in Salt Lake City. This role combines hands-on picking and packing with computer-based order processing in NetSuite, shipping-label generation, inventory control, and independent follow-up on exceptions. The right candidate works accurately at a steady pace, keeps the work area organized, and recognizes when an order or system behavior does not look right before a shipment leaves the building.
Core responsibilities
· Process daily ecommerce orders in NetSuite, including printing picking tickets, reviewing order status, fulfilling orders, printing shipping labels, and generating USPS SCAN forms/manifests.
· Pick the correct SKU, lot, and date-controlled inventory; count units against the picking ticket before sealing each shipment.
· Select the appropriate poly bag or carton based on item count and shipment needs; weigh and measure cartons when required and enter package data correctly.
· Apply shipping labels accurately and stage completed packages in the correct carrier area or tote for pickup.
· Follow defined order-priority rules by shipping method, customer/order type, brand/class, and order date.
· Maintain clearly labeled, easy-to-pick SKU locations; replenish picking containers throughout the day and leave them filled for the next workday.
· Perform scheduled physical inventory counts of loose units and full cases and report discrepancies promptly.
· Receive and route returned packages and inventory replenishments; notify the appropriate team members of issues requiring action.
· Read and follow emails or written instructions covering order exceptions, special handling, canceled orders, or unusual customer requirements.
· Answer phone calls from management and take any appropriate action in response.
· Investigate orders that appear ready to ship but remain unfulfilled, and escalate unresolved inventory, system, or carrier issues.
· Separate non-Shopify or wholesale orders for the appropriate team using the designated handoff location and process.
· Help improve packing, labeling, staging, and quality-control methods to reduce errors and increase throughput.
· Keep the fulfillment workspace clean, safe, orderly, and ready for efficient daily operation.
· Confirm carrier pickups are scheduled when recurring pickup arrangements are not in place.
Required qualifications
· Fluent spoken and written English, including the ability to understand picking tickets, product labels, system prompts, step-by-step written guidelines, and exception instructions.
· Comfortable and efficient using a Windows PC, web browser, email, and printer-based workflows.
· Strong attention to detail and dependable basic counting, matching, and data-entry skills.
· Able to follow SKU-level lot and date-control procedures consistently.
· Sound judgment: able to identify unusual orders, stop before making a questionable shipment, and ask for help when needed.
· Able to learn and consistently execute the NetSuite fulfillment workflow after training.
· Dependable attendance and ability to work independently while meeting daily shipping deadlines.
Preferred qualifications
· Prior ecommerce, warehouse, shipping, order-fulfillment, or inventory-control experience.
· Experience with NetSuite or another warehouse, ERP, or shipping system.
· Ability to perform basic troubleshooting such as resetting a printer, checking connections, or restarting a workstation application.
· Spanish language ability.
Physical and work requirements
· Regular standing, walking, reaching, bending, counting, labeling, packing, and computer use in a warehouse/production environment.
· Ability to safely lift and move packages and cases up to the company-approved limit [TBD].
· Ability to accurately read pick tickets and labels, including product names, types, lots, and dates, and carrier labels.
· Ability to consistently sort products in a specific order (e.g., alphabetical order, numerical, alphanumerical, mixed sort).
· Ability to work around routine warehouse and production activity and follow all site safety and sanitation requirements.
What success looks like
· Orders due to ship are completed accurately and on time, with parcels meeting appearance standards.
· SKU, quantity, lot/date rotation, packaging, label, and carrier staging are correct.
· Open or anomalous orders are found and addressed rather than left untouched.
· Picking locations and the work area remain stocked, labeled, clean, and organized.
· Inventory counts are reliable and discrepancies are communicated promptly.
· The employee can execute the standard workflow independently and escalates exceptions with useful information.
