As an Administrative Assistant, you will play a key role in supporting project management operations, ensuring schedules, documentation, and communications remain accurate and up to date across multiple active initiatives. Responsibilities
- Provide administrative support to the Project Management team across multiple infrastructure projects.
- Maintain and update project schedules and tracking spreadsheets in Excel.
- Track project materials and assist with monitoring delivery timelines.
- Coordinate follow-ups with vendors to confirm updates and collect project information.
- Organize and maintain project documentation, records, and status updates.
- Assist project managers with meeting coordination, notes, and general project communication.
- Support documentation and administrative tasks related to project procurement and project files.
- Collect updates from field teams and ensure project trackers and reports remain current.
- Assist with preparing status reports and project updates for internal teams.
Qualifications
- Experience in an Administrative Assistant, Project Assistant, or Project Support role.
- Strong organizational and administrative skills with attention to detail.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Ability to manage multiple tasks and maintain organized documentation in a fast-paced setting.
- Strong communication skills and ability to coordinate with internal teams and vendors.
- Experience supporting engineering, construction, utilities, or infrastructure teams is a plus but not required.
