Job Title: Membership and Database Coordinator                           

Reports to: Assistant Director of Membership

 

Overview: Public Responsibility in Medicine and Research (PRIM&R) is an international 501(c)(3) nonprofit organization based in Boston’s historic Back Bay whose mission is to advance the highest ethical standards in the conduct of biomedical, behavioral, and social science research. Since 1974, PRIM&R has served as the primary professional home and trusted thought leader for the human and animal research oversight communities. Through educational programming, membership services, professional certification, public policy initiatives, and community building, PRIM&R seeks to ensure that everyone involved in research understands the central importance of ethics in the advancement of science. This includes working to address systemic racism and other forms of structural injustice as they impact the research enterprise. Position Summary

The Membership and Database Coordinator works to further PRIM&R’s mission to advance the highest ethical standards in the conduct of research by coordinating services and benefits for PRIM&R’s 4,000 person international membership community, recruiting new members, and retaining current members. The Coordinator is also responsible for membership-related conference activities and continuous quality improvement in all matters membership, including constantly finding ways to improve our services, benefits, and outreach efforts. Additionally, the Coordinator assists with tasks specifically related to the database, including training and providing technical support and assisting with general improvements to the system. 


What you’ll do:


Membership:

Coordinates membership services and benefits in collaboration with other departments, such as the certificate program, regional connections program, mentoring program, dues discount program, etc.

 Coordinates occasional member events such as Biomedical Research Awareness Day, Virtual Roundtables, and Member Appreciation Month programs/events.

  • Processes membership applications, renewals, upgrades, and transfers.
  • Responds to member inquiries via email and phone.
  • Coordinates quarterly Membership Committee charges and meetings.
  • Brainstorm and develop new member offerings alongside Assistant Director of Membership.


Database:

  • Builds live events and products for internal and external use.
  • Assists with training new staff, updates training materials, and answers staff technical questions.
  • Interfaces with database vendor to escalate issues.
  • Work closely with Senior Systems Administrator to troubleshoot and test.
  • Assists with general system upgrades and improvements.


Membership Marketing:

  • Collaborates with marketing and communications (MarCom) team to develop annual membership marketing tactical plan and new collateral.
  • Builds and sends member and member benefit-related e-pubs as necessary
  • Manages the production of Monthly PRIM&R Member Digest and writes membership-related pieces for PRIM&R Member Digest, website, social media, etc.
  • Develops membership recruitment and retention tactical plan.
  • Proofreads MarCom Membership marketing materials, and additional outputs across the organization
  • Conferences:
  • Staffs PRIM&R conferences and coordinates special membership events such as young professional networking and on-site volunteer opportunities.
  • Assists with processing registration forms and responding to customer inquiries; often staffed at the help desk for in-person attendees.

 

What we’re looking for:

  • 1–2 years of experience supporting and engaging members, customers, or stakeholders in a professional setting.
  • Computer: Proficiency in Microsoft Office and experience with CRM/AMS database (Fonteva, Salesforce) required.
  • Communication: Exemplary customer service through email, phone, and in-person; ability to effectively train internal staff on complex procedures; collaborate across departments.
  • Other: Detail-oriented; ability to successfully manage multiple tasks; project-management.
  • Relationships: Internal: Primarily works with the operations team and the Assistant Director of Membership, and often collaborates with the education, conferences, and marketing and communication teams. External: Works with membership committee, VIPs at conferences, works with technology vendors, works extensively with PRIM&R members.

 

Salary & Benefits: Starting salary for this position is $50,000. PRIM&R offers a full benefits package, including medical, dental, 401k, generous paid time off, flexible work schedule, summer hours, and professional development support. PRIM&R offers a fully remote environment.
