PrideStaff is currently seeking an Administrative Assistant a manufacturing company located in Colton, CA. This position has potential for hire. Please see job requirements below to be considered.
- Pay Range: $19.00 to $19.50
- Shift: Monday through Friday, 8:30 a.m. to 4:30 p.m.
Key Responsibilities:
· Answer and manage incoming emails and phone calls in a professional and timely manner
· Communicate effectively with vendors, reps, and internal team members
· Prepare and process requests for quotes by gathering specifications, artwork, analyzing samples, and related details
· Maintain organized records, files, and documentation
· Proficient in Microsoft Office (Word, Excel, Outlook)
· Perform accurate measurements using a tape measure when needed
· Log Samples by taking photos, measuring, and recording specifications (including paper types, print colors, print coverage, cut/style, etc.), then properly storing them in designated warehouse location
· Set reminders and manage calendars for meetings, deadlines, and follow-ups
· Takes ownership of tasks from start to completion and ensures nothing falls through the cracks.
· Ability to help prioritize incoming requests and protect executive time by filtering and escalating appropriately.
· Follow up on pending tasks, quotes, and communications to ensure timely completion
· Learn and understand company products to better support daily operations and customer inquiries
· Ask questions and seek clarification when needed to ensure accuracy and efficiency
· Provide direct daily support to the Company President, including helping coordinate priorities, schedule flow, and meeting readiness
· Anticipates needs in advance, prepares materials ahead of meetings, and helps ensure the executive is always prepared and on schedule.
· Must handle sensitive business information with a high level of discretion and professionalism.
· Actively support daily executive movement and scheduling such as ensuring attendance at meetings, providing reminders, and assisting with transitioning between tasks
· Exercise strong judgment in escalating questions efficiently rather than delaying decisions or spending excessive time troubleshooting independently when input is needed
Qualifications:
- Bilingual in English and Spanish a plus
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Professional phone and email etiquette
- Proficiency in Microsoft Word, Excel, and Outlook
- Strong attention to detail
- Ability to effectively manage time, priorities, and shifting deadlines in a fast-paced environment
- Reliable, punctual, and patient
- Eagerness to learn company products and processes
- Proactive mindset with strong initiative and follow-through
- Willingness to ask questions and take initiative when unsure
- Demonstrates high energy, adaptability, and a strong desire to learn and grow with the role and the company
- Previous administrative experience required
- Previous experience working with different paper types (e.g., kraft, kraft and white, etc.) is a plus
