About the Role

The Systems Operations Coordinator plays a dual role supporting both client services operations and care coordination. This position serves as a central resource for coordinating program logistics and ensuring that internal systems, databases, partnerships, and workflows effectively support high-quality program delivery and accessibility to vision services. 


Key Responsibilities:

Screening Logistics 

  • Coordinate and manage statewide screening logistics for all adults and children, including scheduling, delivery of resource allocation, and site coordination.
  • Oversee operations to support the successful implementation of screening activities statewide.
  • Support follow-up procedures by tracking all screening outcomes and assisting with client referrals and next steps in care.


Service and Systems Operations

  • Collaborate with partners and healthcare providers to strengthen referral networks and improve access to preventative vision screenings, early detection services, and treatment resources.
  • Support targeted program services and initiatives by connecting clients to appropriate services across the continuum of care.


Screening Data Entry and Data Collection 

  • Monitor data quality and completeness, working with field teams to resolve discrepancies and ensure integrity of records.
  • Ensure accurate and timely data entry and collection for all screening activities, maintaining compliance with established protocols and reporting requirements.
  • Maintain and support program databases and systems (e.g., CRM, patient tracking systems)
  • Maintain documentation, standard operating procedures (SOPs), and tracking tools for program operations.
  • Generate reports to support program evaluation, grant reporting, and decision-making.


Qualifications:

Education & Experience

  • Bachelor’s degree in Public Health, Healthcare Administration, Nursing, or related field.
  • 3 years of experience in patient services, customer service, event management, community health, program and process evaluation, and care coordination.
  • 3 years of experience in data collection and management, program management, or project management.
  • Experience working with CRM software or similar databases. 
  • Expertise in prevention, treatment, and patient education.
  • Knowledge of healthcare systems, preferably vision care access and disparities, and providing multidisciplinary care.
  • Demonstrated success building relationships, working with, and influencing healthcare providers.


Skills & Competencies

  • Excellent problem solving and critical thinking skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work across diverse populations and communities.
  • Ability to successfully manage multiple projects or programs simultaneously.
  • Ability to work independently and as part of a team.
  • Bilingual (English and Spanish) preferred but not required.


Work Environment:

·       This position is hybrid with 25-40% travel to program and clinic sites.

·       May require occasional evening or weekend support for programs or events.


Compensation: 

$35,000 - $55,000 per year, commensurate with experience.
