Overview
We are seeking a dynamic and detail-oriented Grants and Contracts Specialist to join our team. In this vital role, you will oversee the administration, negotiation, and management of grants and contractual agreements, ensuring compliance with federal, state, and organizational regulations. Your expertise will drive the successful procurement of resources, foster strong vendor relationships, and safeguard our organization’s legal and financial interests. Duties
- Manage the end-to-end lifecycle of grants and contracts, including initiation, review, negotiation, execution, and renewal processes.
- Conduct thorough document reviews to ensure accuracy, completeness, and compliance with applicable laws such as UCC law (Uniform Commercial Code) and Federal Acquisition Regulations (FAR).
- Draft, revise, and negotiate contractual agreements with vendors, contractors, and partners to secure favorable terms while mitigating risks.
- Oversee procurement activities by coordinating purchasing efforts through ERP systems like PeopleSoft or Salesforce to streamline vendor onboarding and purchase orders.
- Maintain meticulous records of all contracts, amendments, correspondence, and related documentation using document management systems for easy retrieval and audit readiness.
- Ensure compliance management by monitoring contractual obligations, regulatory requirements, and organizational policies across all projects.
- Collaborate with legal teams on intellectual property law issues and legal drafting to protect organizational interests.
- Coordinate vendor management activities including performance evaluations, contractor management, and dispute resolution.
- Lead change management initiatives related to contract modifications or process improvements within the organization’s contracting framework.
- Support business development efforts through proposal writing, pricing strategies, and strategic planning to expand organizational capabilities.
- Utilize DocuSign or similar electronic signature platforms for contract execution to enhance efficiency.
- Engage in research activities related to procurement trends or legal updates impacting contracts and grants.
Qualifications
- Bachelor’s degree in Business Administration, Law, Public Administration or a related field; advanced certifications in contract management or procurement are preferred.
- Proven experience in contracts administration, grant management or procurement roles within a complex organizational setting.
- Strong understanding of procurement processes including vendor management and purchasing procedures.
- Knowledge of legal drafting principles with an emphasis on UCC law and FAR regulations.
- Experience managing documents within document management systems; familiarity with Salesforce or PeopleSoft is highly desirable.
- Excellent negotiation skills with the ability to build consensus among diverse stakeholders.
- Demonstrated ability in records management ensuring audit readiness and regulatory compliance.
- Skilled in contract review, change management processes, and dispute resolution strategies.
- Ability to interpret technical writing related to contracts or proposals clearly and accurately.
- Familiarity with ERP systems such as PeopleSoft or Salesforce for contract tracking and procurement workflows.
