Administrative Assistant – Financial Advisor (Part-Time, 30 Hours per Week)
About the Position
Premier Wealth Strategies is looking for a friendly, dependable, and organized Administrative Assistant to work directly with a Financial Advisor in a professional yet welcoming office. This is a part-time position (30 hours per week) for someone who enjoys helping people, staying organized, and being an important part of delivering exceptional client service.
As the Administrative Assistant, you'll be the first person our clients see or speak with, making you an essential part of creating a positive experience. You'll help keep the office running smoothly by managing day-to-day administrative tasks, supporting client service, and ensuring everything is organized behind the scenes.
Key Responsibilities
- Welcome clients and visitors with a warm, professional attitude.
- Answer phones, respond to emails, and assist clients with questions or direct them to the appropriate resources.
- Manage the Financial Advisor's calendar by scheduling appointments and confirming meetings.
- Prepare client paperwork, meeting materials, and correspondence.
- Assist with processing paperwork, applications, and client service requests.
- Maintain accurate and confidential client files, both digitally and in paper format.
- Follow up with clients as needed to ensure requests are completed and to provide outstanding service.
- Organize and maintain filing systems, office supplies, and client databases.
- Assist with client appreciation events, mailings, and other office projects.
- Create and schedule social media posts to help maintain the firm's online presence and support marketing initiatives.
- Help maintain a clean, organized, and welcoming office environment.
Required Qualifications
- High school diploma or equivalent.
- One or more years of administrative, executive assistant, customer service, or office support experience.
- Excellent communication and interpersonal skills.
- Strong organizational skills with great attention to detail.
- Ability to manage multiple priorities while working independently.
- Proficiency with Microsoft Office (Outlook, Word, and Excel).
- Professional, dependable, and committed to providing excellent client service.
Preferred Qualifications
Candidates with any of the following are encouraged to apply:
- Experience in a financial advisory, insurance, wealth management, banking, or investment office.
- Knowledge of investments, retirement planning, or insurance products.
- Active Life and Health Insurance License.
- FINRA securities licenses (Series 6, Series 7, Series 63, SIE, or equivalent) are a plus.
- Experience using CRM software and maintaining client databases.
- Experience creating content for business social media platforms such as Facebook, LinkedIn, or Instagram.
Position Details
- Part-time: 30 hours per week
- Monday–Friday daytime schedule, business hours are 9-4 but flexible for the right candidate.
