We are seeking a dedicated and personable Client Care Specialist/Receptionist to serve as the first point of contact for our clients and visitors. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a passion for delivering outstanding customer service. This role involves managing front desk operations, coordinating appointments, and supporting administrative functions to ensure smooth clinic operations.
- Greet clients warmly and professionally, creating a welcoming atmosphere for all visitors.
- Manage multi-line phone systems efficiently, directing calls and providing accurate information.
- Schedule appointments, confirm bookings, and coordinate calendar management for veterinary staff.
- Handle data entry tasks accurately using computer skills, including maintaining patient records and filing documents.
- Assist with billing, invoicing, and basic bookkeeping using online and veterinary accounting software.
- Maintain organized front desk areas, ensuring all office supplies are stocked and files are properly stored.
- Provide exceptional customer support by addressing client inquiries promptly and courteously.
- Support office management tasks such as proofreading documents, managing correspondence, and supporting team members with administrative needs.
- Proven experience in office management or administrative roles within a veterinary or medical setting is highly preferred.
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry tools.
- Familiarity with multi-line phone systems and phone etiquette to handle client communications effectively.
- Bilingual abilities are a plus to better serve diverse client populations.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Previous experience with clerical tasks such as filing, proofreading, and calendar management is desirable.
